Activity Management (Enhanced)

Use

As of Release 4.72 the following changed or new functionality is available in Activity Management:

In a claim the same task might exist more than once for a claim subobject if there are different reasons for the task. Through Release 4.71 each task was treated as a single task, in other words each task was displayed in the list of pending tasks, and a workflow was started for each task. Only tasks that were the same could be processed together.

As of Release 4.72, the same tasks for a claim subobject are grouped together in a task family. Purely manual tasks are excluded (see below for an explanation of "Purely manual task").

Tasks in a task family are tasks that are the same for a claim subobject. However, they may differ in the following respect:

  • Task text
  • Deadlines
  • Priority
  • Cause (created manually, anomaly, or BRF action)

A task family has a leading task. This is the task with the shortest deadline. Only the leading task is displayed in the claim and a workflow is only started for this task. The other tasks in the family are available in the background. If required, their information can be accessed. For example, this is the case with the explanation component.

As of Release 4.72 you can view an explanation as to why the task exists. To call the explanation component in claims processing, select the |@0S@ icon with the quick information text Note to Clerk. The explanation refers to the task (strictly speaking, to the task family) that is currently being processed.

The explanation contains the various anomalies and their cause. The explanation is based on the data of all tasks of the family and on the results of the rule run.

In Release 4.72 only Business Rule Framework (BRF) expressions of the expression type Boolean Expression with Three Variables (implementing class 03O001) are evaluated as the cause. The evaluation is flat, in other words at the highest level.

Note: To make the results of a rule calculation on an anomaly available, you must set the Activate Rule Explanation indicator in the control predicate in the BRF.

If a task is completed by the system (for example, after deletion of a claim subobject), the system enters a system activity in the task. This system activity describes the reason for completion of the task.

System activities are stored in a system table. This system table is maintained by SAP and not by customers.

In IMG activity Define Tasks and Log Entries you can flag tasks as being purely manual tasks. When you are processing a claim, you can only create such a task manually and individually, and then only complete it manually and individually. The content of a purely manual task is not defined by the ID but by the text that you assign to the task in the claim.

You can create a purely manual task as often as you like. It is always a single task without a task family. A workflow is started for each purely manual task.

Purely manual tasks do not participate in many functions available in Activity Management. In other words, the task cannot be created or completed by a control predicate or an action .

Note: "Purely manual tasks" should not be confused with "manual tasks" that participate in Activity Management. With "manual tasks" you use the internal claim type to define which automatic tasks may also be created manually.

A new priority concept is used as of Release 4.72. This new priority concept is compatible with the SAP Business Workflow priority concept.

As previously, you define the priority in IMG activity Define Tasks and Log Entries. For each task you can define a priority of between 1 and 9, where 1 signifies the highest priority.

Only the tasks with the highest priority (smallest figure) are displayed to the assigned claim handler in the workplace. Tasks with a lower priority are assigned to the claim handler but not displayed in the workplace. Within the claim, all existing tasks and their priority are visible.

The 3-figure priorities concept used so far is obsolete as of Release 4.72.

  • Create Task
In Change mode you can use the |@17@ icon with the quick info Create Task in both the list of pending tasks and on the Log screen.
When you select this icon, a dialog screen appears with the following new fields:
  • Due date as the date for the start of the task. This corresponds to the date of first submission in the workplace.

  • Claim handler category, defaulted to user

  • Claim handler as proposal for subsequent claim handler assignment

  • Additional Functions in the List of Pending Tasks
The following additional functions are available in the list of pending tasks:
  • Postpone Task

In Change mode there is an |@1T@ icon with the quick info Postpone Task.
The function refers to the current line of the list. The current line is highlighted yellow. (Note: This is not to be confused with Task in Process). To postpone a task, you can click on the Due Date field. On the next dialog screen enter the required resubmission date in the Due Date field.
You can only postpone tasks that have not yet been processed.
In addition, the following standard functions are available in the pending tasks list:
  • Details

  • Search

  • Print

  • List Output

  • Export

  • There is a new authorization object, I_ICL_ACT, for tasks and log entries
You use this authorization object to control which tasks or which log entries the user may change manually, which are displayed to the user, and which "external" tasks the user may change (complete manually or shift). The user can always change own tasks.
