Payroll Control Center: Off-Cycle Enablement

Use

As of release EA-HRRXX 608 SP44, you can configure and manage off-cycle processes in Payroll Control Center.

  • Planned off-cycle
Planned off-cycle processes can be recurrent and are managed like regular processes in Payroll Control Center.
Planned off-cycle processes are divided into the following types:
  • Planned Off-Cycle: Productive Payroll

PO processes are productive payroll processes for planned off-cycle payroll. It includes selection of employees for whom the planned off-cycle payroll is to be run and the actual off-cycle payroll run for the selection of employees.
PO processes are processes assigned to process templates with the category Planned Off-cycle - Productive Payroll (PO)
  • Planned Off-Cycle: Others

OO processes define the subsequent activities for the PO processes. An OO process may include bank transfer and posting for the same employees that have been selected in the PO process.
OO processes are processes assigned to process templates with the category Planned Off-Cycle - Others (OO).
The PO process is the parent process for the corresponding OO process.
  • Ad hoc off-cycle
With the new Payroll Control Center - Manage Off-Cycle Payrolls application, ad hoc off-cycle request can be created on a single employee basis. A successfully created ad hoc request includes off-cycle payroll run and registration to an upcoming subsequent ad hoc off-cycle process.
The ad hoc off-cycle process will process all the registered ad hoc off-cycle request with steps for bank transfer, posting and pay slip. As of release 608 SP44, only off-cycle reason for adjustment (pay type equals 'B') is supported for ad hoc off-cycle process.
AO processes are processes assigned to process templates with the category Ad Hoc Off-Cycle (AO).
Note:The productive payroll for ad hoc off-cycle is managed by the process manager using the Manage Off-Cycle Payrolls application on the front end of Payroll Control Center.

Effects on Existing Data

,,The Generate Process Instances report (PYC_GENERATE_PROC_INSTANCE) is enhanced for generating off-cycle process instances. On the output screen, you can configure pay date and pay ID for generated off-cycle process instances.

,,The new application Manage Off-Cycle Payrolls is delivered on the front end of Payroll Control Center. Payroll process managers can use Manage Off-Cycle Payrolls to run ad-hoc off-cycle payroll for a specified employee, save the payroll results and register the ad hoc off-cycle requests to subsequent ad hoc off-cycle process instances based on the payroll area of the specified employee and the off-cycle reason.

,,The following Customizing activities under Payroll Control Centerhave been enhanced with the new standard SAP objects for off-cycle payroll:

  • Define Process Step Templates
New step templates with the ID "PYP_V2_OC_*" are delivered.
  • Define Process Templates
New process templates with the ID "PYP_V2_OC_*" for planned off-cycle are delivered.
New process template "PYP_V2_AD_HOC_OC_SUB" for subsequent ad hoc off-cycle is delivered.
You can define selection run time class for a productive planned off-cycle process template (PO process template).
  • Define Process Types (under Payroll Control Center Configuration Simplification)
The following new process types are delivered
  • PY10_EX_PYP_TYPE_AO (Example Process Type for US Subsequent Ad Hoc Off-Cycle)

  • PY10_EX_PYP_TYPE_OO (Example Process Type for US Subsequent Planned Off-Cycle)

  • PY10_EX_PYP_TYPE_PO (Example Process Type for US Productive Planned Off-Cycle)

New Customizing activities are provided for you to configure off-cycle payroll processes and manage off-cycle payroll runs:

  • Payroll Process Management
  • Maintain Off-Cycle Process Additional Information

You use this Customizing activity to set up the relationship between the parent PO process and the OO process and to assign off-cycle reasons to off-cycle processes.
  • Ad Hoc Off-Cycle Payroll
  • Determine Form Type for Remuneration Statements

You use this Customizing activity to choose between EDT and HR Forms for Remuneration Statements
  • Set Up Report Variants for Off-Cycle Activities

You use this Customizing activity to determine the variant for Payroll Driver and determine the variants for Remuneration Statement if EDT is used.
  • Provide Remuneration Statement Form PDF

You use this Customizing activity to display remuneration statement in the application Payroll Control Center - Manage Off-Cycle Payrolls as a PDF file.
  • Set Up Display for Remuneration Statements Using HR Forms Workplace

  • Set Up Payment for Ad Hoc Off-Cycle Payroll

You set up payment for ad hoc off-cycle payroll by assigning wage types to off-cycle reasons. When the payroll process manager chooses an off-cycle reason in Manage Off-Cycle Payrolls, he or she can choose from the list of assigned wage types to determine the off-cycle payment for the employee.
