New Magnetic Media for End of Year Returns

Description

A new version of the magnetic media program is provided for submitting end of year returns on magnetic media. The magnetic media driver retrieves payroll results and master data held on the HR system, and generates a file that conforms to the technical specification for magnetic media issued by the DSS for magnetic tape & data cartridge (Part 2 CA51(MM3)) and flexible disc (Part 2 CA52(MM4)). The file is output to a TemSe (temporary sequential) file for subsequent viewing and downloading (report RPUTMSG0).

The magnetic media driver incorporates the functionality already available with the current program, but has been enhanced to provide the following features:

  • Single program execution (previous version called four subprograms)
  • Simpler operation (no intermediate extract file required, less customizing)
  • Check option for checking the error categories given in the Technical Specification for Magnetic Media (issued by the DSS)
  • Improved file handling using TemSe files
  • Flexible disc format supported
  • Improved logging of employee data, exceptions, and errors
  • Clear modifiable data and subroutines to meet customer requirements
  • Full employee selection criteria for easier testing

The program makes the end of year check program (RPCYECG0) and the previous magnetic media driver (RPCIEYGG and subprograms) redundant.

Running the new magnetic media driver involves executing program RPCMAGG0. The TemSe view and download program is RPUTMSG0. TemSe files can be maintained using transaction SP11.

From the Payroll Accounting for Great Britain screen, choose Annual -> End of year -> Magnetic media -> Driver. After running the program, you can display the results with View file. Alternatively, the results can be displayed by choosing Annual -> End of year -> Magnetic media -> Results display from the Payroll Accounting for Great Britain screen.

Parameters on the selection screen of the magnetic media program include employee selection, tax year, permit number, choice of magnetic tape or flexible disc format, and data check. The screen has the default settings Error types 1, 2 and 3 under Check options, and Magnetic tape, which should be changed to Flexible disc if appropriate, under Output format, as you are recommended to check thoroughly for errors before submitting your file.

The results screen lists any severe errors or warnings, otherwise a successful run displays the totals for each permit number on the file. The total amounts for tax, NI contributions, SSP, SMP and recovered amounts and ECON are displayed for entry on form P35(MT).

Also displayed are the number of employees, employee records and exceptions, error check totals if chosen, and the TemSe file name created.
Four options are available as appropriate:

  • View file allows you to view the file contents (RPUTMSG0)
  • List checks lists any error checks detected, ordered by type and personnel number
  • Employee data lists the employees included on the file, with an entry for each distinct period of employment
  • Employee exceptions lists any employees not included on the file with a description of the error

Customer Configuration

If you wish, the magnetic media report can be modified to include sub-total records in either the magnetic media tape or flexible disc format. In this case, a sub-total record will follow directly after record type 1, indicating that all subsequent records prior to the next sub-total record make up a subgroup.

Authorization checks can be incorporated into the program to ensure only those with the correct profile can access employee data and generate the returns file. Similar checks can be used for the TemSe file viewer.
One section of the data declarations is clearly marked for customer modifications. For example, the wage types used are declared as literals so that you can use your own wage types.

The new version of the magnetic media driver removes the need for customizing the platform-independent file and paths. Thus the following steps that were available in Customizing for Payroll: United Kingdom under End-of-Year Processing are no longer required:

  • Automatic file generation for EOY returns on magnetic media
  • Set up files and paths for EOY returns on magnetic media
  • Generate interface toolbox
