Day-Specific Planning

Use

Day-Specific Planning has been enhanced for Release 4.62 in the following:

Look and Feel from SAP-enjoy

The Day-Specific Planning has been re-structured using R/3 service elements and is presented in Look and Feel from SAP enjoy.

The Pre-selection List and the display of the scheduled days has been separated re-arranged from each other:

  • The Pre-selection List shows any patient with their pre-registrations for which the appointment should be allocated.
  • The Overview of Planned Patients shows uses a tree structure to show all days within the period presented in the Day Grid, on which day-specific appointments are already scheduled for patients.

The Pre-selection List and the Overview of Planned Patients and the Day Grid are adjustable in their sizes. For this, you use the mouse to drag the separation lines between the service elements to the positions desired. The positions of the separation lines are retained when calling the day-specific planner and the current R/3 log-on.

The service functions of the day-specific planner have been re-arranged: The Pre-selection List and the Overview of Planned Patients and the Day Grid provide those functions that can be executed in the each corresponding service element. The menu taskbar has been reduced to functions that can be used globally in the entire planner.

Pre-Selection List

The Pre-selection List shows the Header "To Plan" and contains any patient that the user has selected in his work station support function (typically in the Pre-registration List) for allocating day-specific appointments.

Display of Previously Scheduled Appointments:

  • If an appointment was previously planned for a patient, then it will appear in the Day Grid and in the Overview of Planned Patients, until user schedules a new appointment for the patient and then leaves the Pre-selection List by executing this.
  • This has the following reason: If appointments would no longer be displayed for patients in the Pre-selection List in the Day Grid, the user would assume there is ample capacity and would continue to schedule appointments on this seemingly low-capacity day. If the user exits then exits the planning before new appointments have been allocated for all patients in the Pre-selection List, then the patients in the Pre-selection List would receive their appointments scheduled so far but not those appointments displayed in the Day Grid. This could cause overbooking without the user being aware of it.
  • The Overview of Planned Patients (lower left tree structure) shows patients who already have an appointment, but were retrieved into the Pre-selection List so that a new appointment could be scheduled, also on the day of their previously scheduled appointment. Reason: The number of services in the Day Grid must be comprehensible in the Overview of planned patients. The name of the patient is highlighted in blue as a sign that the patient is also in the Pre-selection List and that the appointment of the patient will be changed by scheduling.

Configurability of the Pre-selection List

  • The Pre-selection List has a tree structure with nodes representing an entered pre-registration or multiple pre-registrations selected in the Pre-registration List. Each pre-registration can be expanded, so that the viewer can view the services entered in the pre-registration.
  • The first row of every node can be configured to the available fields. For this, you select the function "Change Layout" in the Pre-selection List.
  • The available fields include:
  • Pushbutton for selecting the node

  • Last Name, First Name, Birth Date and Age of the Patient

  • Case Number

  • Key and Short Text of each org. unit for which the pre-registration was entered

  • Date, Time: This is any time when the pre-registered services should be performed. This field is cumulated from the information "Desired Time" and "Planned Time": If a desired time has been entered for a pre-registration, then this will be highlighted in blue in t he "date" field. If an appointment has already been planned for the services of a pre-registration, then the "Date" field will appear in black. If it is a time-specific appointment, then the time of the appointment will appear in black.

  • Various alternative layouts can be defined globally or user-specifically then saved for the Pre-selection List. From the defined layouts, you can define a standard layout that the user contains when calling the day-specific planner.

Overview of the Planned Patients

The Overview of Planned Patients has been arranged below the Pre-selection List. It is labeled with the Header "Planned" and displays any days from the planning horizon in the Day Grid on which appointments are planned for the patient. You can also select patients in the overview and then plan them by double-clicking a row in the Day Grid. This function is helpful if, for example, you are looking for a short-term appointment for a patient that you have in the Pre-selection List.

To do this it may be necessary to re-schedule another patient to another appointment. For example, you display all patients in the overview for a day on which you want to check for the patient to be planned for a short-term appointment. You then can select a new appointment for a patient for whom the appointment is not time-critical. This frees up capacity then for the patient to be planned for a short-term appointment.

The Overview of Planned Patients can also be set up based on available fields. This would include the same batch of fields as in the Pre-selection List.
Note: The "Date" field regarding the service will then only be set if the planned date of the service within a request or a pre-registration deviates from the day displayed below the request or pre-registration.

Day Grid

The display logic of the Day Grid has been mainly retained in 4.62:

  • The Day Grid horizontally shows any services that have a specified day-related quota. The headers of the columns can be freely filled in with the service codes or the service text. You can control this by using the OU-related parameter N1LSLIST. A query runs for this parameter for any org. unit when the day-specific planner is called for this org. unit.
  • The planning horizon is displayed horizontally: The default is set at 28 days, whereas this value can be overridden with the user parameter VKKTD.
  • A box of the Day Grid shows for each day the amount of services which fall within the quota specified as a column header. The placement of the service into a column is not executed by the user, but by the definition of the quota in the master data for the daily schedule. When planning a service, the user selects only the day on which the service should be performed.

Suppressing the Display of the Schedulable Quotas

  • Each line also shows the amount scheduled for services in parentheses that is specified by the quota for each day. In Version 4.62, you can turn off this display. For this, you use the OU-related parameter N1KPKOAZ. The default setting is for the display of the quota to be turned on (active). This means that you will be able to see if the parameter N1KPKOAZ is not maintained as well as the number of services that the quota defines.

Setting the Overbooking Option

  • The extent to which a service quota can be overbooked is adjustable as additional information in the daily schedule. With Version 4.62, this overbooking option is set by the user and can by turned off:
  • If no overbooking option is entered, then the indicator "Overbooking Possible" will be left blank. The field "Overbooking Amount" will then not be interpreted with day-specific planning of a service.

  • If you would lie to allow overbooking, then you must select the indicator "Overbooking Possible" and then specify the amount to enable overbooking of the quota when scheduling a day-specific appointment.

  • If overbooking is allowed but no overbooking amount is specified, then that means that the overbooking is unlimited.

Sorting the Day Grid: The Day Grid in 4.62 offers sorting functions with which you can sort by any column you select in ascending or descending order. Some significant examples would be:

  • Sorting by weekday to display the volume on all Mondays, Tuesdays, etc, in a block arranged under each item
  • Sorting by individual quota columns in order to rapidly determine the day with the highest amount of a service specified.

Display of Planned Patients

  • The Day Grid is a very compressed display that provides an overview of the occupancy of a service facility with services over a long time horizon. To display patients who are scheduled on one day, the function "Planned Patients" has been implemented in the Day Grid.
  • Set the cursor to any day on which you would like to view the scheduled patients and then select the function "Planned Patients". IS-H*MED opens in the Overview of Planned Patients (arranged to the lower left) any day that you have selected with the cursor position and shows the patients planned for this day. The day node in the overview will then be better focussed for easier reading. If the node for the desired day is outside of the viewable area, the display will then scroll accordingly, so that so many patients for this day appear in the overview.

Limiting

To be complete, there is also the following limiting option: The Day-Specific Planning function has been implemented into the long-term planning of pre-registered services. The assignment of a cycle to a pre-registered service is generally possible from the Worklist, whereas the day-specific planning of cyclical services is not supported in Version 4.62.

Effects on Existing Data

The indicator "Overbooking possible" with the daily schedule-related service quota has been newly implemented with 4.62. As of 4.62, the field "Overbooking Amount" will only be interpreted if the indicator "Overbooking possible" is set with an X.

With the upgrade for 4.62, in one effort, IS-H*MED sets the indicator "Overbooking possible" with an X for all service quotas which have an overbooking amount >= !.

Controls

The Day-Specific Planning function exclusively uses service elements that are already installed on the PC with SAPGUI 4.6C. The additional installation of PC components is not necessary for the Day-Specific Planning function. The controls shipped with Releases 4.03 and 4.61

  • ISHMEDTREE and
  • ISHMEDGRID

are no longer necessary can be de-installed from the PCs if necessary.

User Parameter

For customized saving of positions of the separation lines between the Pre-selection List, the Overview of Planned Patients and the Day Grid, IS-H*MED uses the user parameters

  • N1KP_INF_SPLIT_H1
  • N1KP_INF_SPLIT_V1.

Both of these user parameters only serve internal program purposes and are automatically maintained by IS-H*MED. As soon as the user has re-positioned the separation line, the setting is saved in the user parameters. Do not modify the value of these parameters. You can delete the parameters from the user settings, which will reset the position of the separation lines to the standard values.

Effects on Customizing

The OU-related parameter N1LSLIST specifies whether service codes or service text should appear in the column headers of the Day Grid.
