Functions for Audit Return Type ABC (USA)

Description

As of IS-M Release 4.02, you can create audit returns in accordance with the requirements of the ABC (Audit Bureau of Circulation - USA).

Principle of generic audit return function

Delivery and return quantities on which audit returns, statistics and evaluations are based are collected in a circulation book (statistics table JITCIRCBOOK). You can make settings for the creation of the circulation book for the audit return type ABC during Customizing for the industry-specific components for media. You define the relevant characteristics here to influence the degree of detail with which updating takes place. The circulation book contains all data relevant for an audit return.

The evaluation functions create flexible overview lists containing basic data for an audit return. The assignment of the circulation to a particular time takes place by means of the publication date, the copy number and the shipping or return date.

You can create the audit returns in the system in order to avoid returned copies being assigned to a period for which an audit return was already effected when retroactive changes are made. When you create the audit return, the period is marked as "audited", so that it is no longer possible to change the circulation quantities for that period.

Effects on Customizing

The following Customizing activities are relevant for the audit return type ABC (path: SAP Media - Industry-Specific Components -> Information System -> Evaluations in Media Sales and Distribution -> Circulation Audit Return):

• Maintenance of Audit Return Types

The standard delivery contains a presetting for audit return type 03 (ABC). You can define the relevant characteristics according to your company's specific requirements. You can also use programs and function modules of your own and even create your own audit return type.

• Definition of Audit Return Categories and Defaults

You can enter audit return categories and use a default table to influence determination of the categories in the order. The standard system contains predefined audit return categories but you should modify the determination procedure to correspond to the order types you set up.

• Definition of Audit Return Hierarchy

The settings you make in this step do not currently have an effect on standard ABC evaluations and evaluations of the circulation book.

• Definition of Number Range for Circulation Book

In this step, you can define the number range to be used to assign the technical key for the circulation book. The standard system contains a presetting.

• Postal code areas

Quantities can be summarized by postal code area for updating in the circulation book to support area evaluations. If you want to do this, you must set up an appropriate structure under a corresponding postal code area evaluation variant. Alternately, you can also update circulation quantities at individual postal code level, which then leads to a higher volume of data in the circulation book.

Changes to the Interface

The functions for circulation audit returns according to the ABC are located in the new application area menu Circulation auditing. Menu path: Logistics -> Media sales and distribution -> Circulation auditing -> Audit return -> ABC -> ....

• Updating -> Update circulation book

This program allows you to update delivery quantities in the circulation book for each shipping date.

• Updating -> Update log

You can use this program to display update logs from past update runs.

• Audit return -> Manage auditing periods

You can use this program to create or delete audit returns that have taken place. You cannot make any further changes to circulation figures in periods for which audit returns exist.

• Evaluations -> Circulation book overview

This evaluation program creates a list for the circulation book that you can adjust according to your requirements.

• Tools -> Delete circulation book data

You can use this program to delete delivery quantities from the circulation book; the update index for the deliveries is reset to "not updated" so that update can be repeated.

Dependent functions

As of Release 4.02, you can change the audit return type of an edition even though orders (not categorized or categorized differently) exist for the edition. The service program for doing this is located under the menu path Audit return -> General -> Change edition return type in the application area menu for circulation auditing. The program changes the audit return type in the edition and recategorizes the orders affected. However, circulation figures already updated to the statistics tables (IVW, WEMF or circulation book) are not corrected. Please ensure that the date on which the return type is changed corresponds to the update of circulation data.
