Document Management: New Functions

Scope of Functions

The following functions for editing and processing documents are available to you as of this Release:

  • Object links
You can specify for links to a certain object, such as material, at an enterprise specific level that:
  • A document cannot be deleted when it is linked to an R/3 Object from the chosen database table.

  • The links to the chosen object, in this case material, are copied from the source document when creating a new version.

  • Status dependent authorization
Checking the status for process authorization is now possible with this release in addtion to to checking activity and document type.
  • Default values
You can now put user-specific and settings for processing original application files in profiles that are maintained in Customizing.
  • BAPI changes
Because of the new functions in this Release for processing original application files we recommend you use the following BAPIs:
  • Change document: BAPI_DOCUMENT_CHANGE2

  • CheckIn Document: BAPI_DOCUMENT_CHECKIN2

  • CheckOut document for processing: BAPI_DOCUMENT_CHECKOUTMODIFY2

  • CheckOut document for display: BAPI_DOCUMENT_CHECKOUTVIEW2

  • Create document: BAPI_DOCUMENT_CREATE2

  • Copy from: BAPI_DOCUMENT_CREATEFROMSRC2

  • Create new document version: BAPI_DOCUMENT_CREATENEWVR2

  • Determine detail data of a document: BAPI_DOCUMENT_GETDETAIL2

  • Business Add-Ins (BAI)
You can use Business Add-Ins to optimize the work processes for document management in your enterprise.
Each Business Add-In is a collection of methods that can be executed in certain predetermined processing situations. These methods define the operations for documents or their original application files.
The following Business Add-Ins are available:
  • DOCUMENT_FILES01 (Processing Originals)

Example: This BAI is called before starting the workstation application with a method that can control decompressing files.
  • DOCUMENT_MAIN01 (General Document Processing)

Example: This BAI is called before changing the documents with a method that can control an enterprise-specific authorization check.
  • DOCUMENT_STATUS01 (Status Processing)

Example:This BAI is called when you display the input possibilities before a status change. Methods als exist that you can use to set an enterprise-specific status check.
  • DOCUMENT_STORAG01 (Original Processing)

Example: This BAI is called before transporting the original application files with a method that determines the storage data.
