Document Management System: New Functions for Original Files

Scope of Functions

Terminology Change

Processing changes for original files that were of great importance to the person who created it and other employees were always marked with the audit indicator in the document status and automatically transported to a secure area.
The term audit has been replaced by the term content version as of this release (for example, in status log).

Enhancements

You can now use the following functions for processing original files:

  • Number of Original Files per Document Info Record
You can enter document info record any number of workstation applications as well as original files. The restriction of two original for document types that support one storage area via Knowledge Provider has been removed. This function is only available for document that you define starting with this release.
  • Complexity of Original Model
Before this release you could maintain additional files and content versions (old: audit files) for each original file.
Starting with this release you define the scope of the original model per workstation application.
This makes it, for example, possible for you to create content versions for word processing programs but not for graphic programs.
  • Existence Check
Up until now an existence check was always run when you created an original file. You can now suppress this check at each workstation application.
  • Working Directory
On the past, when you processed an original file that had been stored in a secure area, a copy copy was created in the storage area where the file was stored before being stored in the secure area. This release allows you to define a user-specific working directory in the profile per workstation application.
  • Automatic Save
You can automatically transport processing statuses that are of such great importance that you want to save them in a special secure area.
You can define a status in Customizing per document type for this security measure. The secure area is determined in the following way when you set the this status for the document info record:
  • Original file was already in secure area -> storage will be reused

  • Original file has not yet been in secure area -> system determines default setting for the storage category from the profile (without a default setting, selection is done using a dialog box)

  • Control Status for Original Files in Secure Area
You can define a special status that can only be set when all original files have been stored in a secure area.
  • Display with a Viewer
A viewer is integrated into the standard system with this release. You can use it to display technical drawings and 3D models. In Customizing for the workstation application you must simply enter the viewer call.
The following formats are supported:
  • 2D raster and vector formats (for example, .JPG, .TIF, .PCX, AutoCAD files)

  • 3D standards (VRML, STL, DirectModel)
