HR: New Reporting Features

Description

Release 4.5A contains the following new features in HR Reporting:

  1. Additional field structure for HR infotypes
  2. Ad Hoc Query: Selection along organizational structure
  3. Payroll infotypes for reporting on payroll results
  4. HR Extractors for the Business Information Warehouse

Ad Hoc Query: Selection along organizational structure

Description

Additional field structure for HR infotypes

From Release 4.5A on, each infotype has a structure Pnnnn_AF (nnnn = infotype number) with a customer include CI_P1011_AF. This structure facilitates creation of additional fields for functional areas of the HR application component. In the case of some infotypes, this structure contains additional fields in the standard system so that customers do not have to include them in the structure CI_P1011_AF themselves.

The standard system also contains procurement routines for the additional fields that already exist in the structure Pnnnn_AF.

For more information about how to create additional fields, refer to the Customizing activity Define additional fields.

In the case of existing customer-specific infotypes, the structures Pnnnn_AF are automatically created during the upgrade using XPRA RPU40CCI (Generate Infotype Include for Customer-Specific Infotypes).

When new infotypes are created using the Personnel Planning Infotype Copier (transaction PPCI) or the Personnel Administration Infotype Copier (transaction PM01), these structures are created automatically.

Ad Hoc Query: Selection along organizational structure

In previous releases, you selected personnel numbers for which you wanted to request reports by defining selection fields (for example, city) and pertinent values (for example, Hamburg). This selection option lets you combine any sets of personnel numbers according to user-definable criteria for reporting purposes.

In many cases, however, users wanted to request reports for all the employees of the same organizational unit or units. In this case, users had to make their selection via the infotype 'Organization Assignment', mark the selection field 'Organization unit' and specify the required organization unit or units.

Release 4.5A of the Ad Hoc Query now offers the function "Selection via organizational structure" to simplify ths type of selection. This function lets you report on all of the personnel numbers in an organization unit or branch of the organizational structure simply and efficiently. This is done by means of a tree structure.

Even if you do not want to select ALL employees in an organizational unit, this function simplifies the selection process for you. You define your selection via the organizational structure and then deselect the employees whose data should not be included in the report before you execute the report.

This enhancement simplifies and accelerates the selection of personnel numbers in the Ad Hoc Query and makes the reporting process more efficient as a result.

The new function offers the following options:

  • Selection of personnel numbers in an organizational unit

  • Selection of personnel numbers in multiple organizational units

  • Selection of personnel numbers in a branch of the organizational structure or in the whole organizational structure

  • Combine the selection via the organizational structure with the selection via fields and the pertinent values (intersection sets, unions)

Payroll infotypes for reporting on payroll results

Description

The Ad Hoc Query and Query now have functions that let you request reports for periodic payroll results, and monthly, quarterly, and annual cumulations.

The country version for the USA offers the additional function of evaluating periodic payroll results, monthly, quarterly, and annual cumulations for federal, state, and local taxes.

These evaluations are based on predefined payroll infotypes which are assigned wage types from payroll results via evaluation wage types.

You can fill the predefined payroll infotypes automatically after each payroll run or, alternatively, as required.

You can use the predefined payroll infotypes as references from which to copy your own customer-specific infotypes.

Customizing

You can find details of this procedure in Customizing for Personnel Management in the step Payroll Results.

HR Extractors for the Business Information Warehouse

Release 4.5A contains extractors for HR master data, Time data, and Payroll data. These enable you to evaluate HR data using the Business Information Warehouse.

For example, you can use a cross-application reporting tool to carry out analyses of the personnel structure, employee turnover, overtime statistics, or personnel costs in your enterprise.

You assign authorizations to control who has access to this data.

You have access to HR Time data from a wide variety of sources:

  • From the Time infotype Attendance and Absences

  • Data from the time evaluation results of time balances and time wage types

  • From the personal work schedule

  • From the infotypes Attendance Quotas and Absence Quotas

  • From the infotype Employee Remuneration Information

For detailed information on how to process Time Management data in the Business Information Warehouse, refer to the Release Note "Time Data in Business Information Warehouse".

You can extract information from the area of Payroll Accounting on all of the wage types in the results table, including the pertinent organizational assignment during the payroll period. You have access to the following information in the Business Information Warehouse:

  • Wage-type related evaluations that you can sort and combine according to a wide range of organizational features.
  • Personnel payroll results linked with Time data and master data for example, to evaluate gross salaries in relation to employee ages, or to evaluate time data in relation to cost centers where the cost center inheritance principle is active.
  • Evaluations or reports on personnel costs, the origin of the costs and their future development.
