SAP Learning Solution LSO 600: Following Up Participation and Courses (Enhanced)

Use

As of SAP ECC Enterprise Extension Human Capital Management 6.0 (EA-HR 600), the functions for following up course participation and courses have been enhanced. The SAP system guides you through the single steps for follow-up processing. You specify for a specific role (such as learner or training administrator) which steps of the follow-up process are to be executed, for example, in the Learning Portal or in the back-end system ( Training Management). Follow-up processing contains sub-processes such as the following:

  • Confirm participation
  • Rate participation
  • Follow up participation (various options)
  • Follow up participation (without changing proficiency)

You can always follow up the participation, regardless of the participation rating (such as Passed, Not passed).
The training administrator or person responsible for follow-up processing is not permitted to change the proficiency of a learner's qualification. The system transfers the qualification in accordance with the procedure infotype (1030) and follows up the participation.
  • Follow up participation (proficiency change allowed)

You can always follow up the participation, regardless of the participation rating (such as Passed, Not passed).
The training administrator or person responsible for follow-up processing is permitted to change the proficiency of a learner's qualification. The system transfers the qualification in accordance with the procedure infotype (1030) and follows up the participation.
  • Follow Up Pass Result (Without Proficiency Change)

In the follow-up process, the training administrator or person responsible for follow-up processing is permitted to follow up the pass result without changing the proficiency, provided that the Rate Participation step was passed.
  • Follow Up Pass Result (with Proficiency Change)

You can follow up the participation that has been passed (with proficiency change), provided that the 'Rate Participation' step = Passed. The system transfers the qualification in accordance with the procedure infotype (1030) and follows up the participation.
This prevents learners from accessing the Web-based training course (such as the time-independent WBT) again in their learning portal.

Follow-up processing involves the following dialog steps in the SAP system:

  • Follow up course
You select the delivery method and the course you want to follow up.
  • Follow up participation
You specify, for example, whether a participant is included for follow-up processing or not. In addition, you can confirm participation (present or absent) or indicate whether the course was passed or not (pass/fail). You can also specify a reason for a fail result.
  • Transfer qualifications
The course objectives can be awarded to the participant as qualifications for course participation.
  • Follow up courses
You can follow up and set a historical record flag for the whole course, including the contents of the preceding steps.
  • Save follow-up processing
Before you save the course, an overview of the dialog steps you have processed is displayed.

There are settings for follow-up processing in Customizing and in the following infotype:

  • New: Follow-Up Control Options infotype (5047)
  • Changed: Infotype Electronic Signature = Electronic Confirmation of Participation = Learning Portal Control Options (5044)
This infotype is no longer used. Its functions are now incorporated in the Follow-Up Control Options infotype (5047).

Effects on Existing Data

Effects on Data Transfer

You can run the Harmonize Follow-Up Processing report (RHSETP5047_LSO) which is required after the SAP enhancements for the follow-up process in the back-end system (Training Management) for SAP Learning Solution as of the LSO 600 release to run the database matchup. The report transfers existing data records from infotype 5044 to the Follow-Up Control Options (5047).

SAP's recommendations:

  1. You can run the RHSETP5047_LSO report if you:
    1. Already use Training and Event Management and want to implement the SAP Learning Solution as of LSO 600.
    2. Already use the SAP Learning Solution on a release previous to LSO 600, want now to implement the LSO 600 release, and have used infotype 5044.
  2. You must run the report before going live.
  3. Do not activate the Lock Objects Involved parameter in the report for performance reasons, because the parameter locks the corresponding training courses. This means that the courses cannot be processed simultaneously or in parallel in the system.
  4. Run the report once you have made the Customizing settings for follow-up processing and have activated the required process steps in the IMG in the Follow-Up section.

Effects on Customizing

The Switch On Electronic Confirmation of Participation Customizing activity was removed from the SAP Learning Solution IMG. The functions from this activity are now available in the Control of Process Steps activity.

Make the required settings in Customizing for SAP Learning Solution before starting follow-up processing. To do so, choose Training Management -> Recurring Activities -> Follow-Up -> Control of Process Steps and Reasons for Course Failed.

Before you can use the enhancements for follow-up processing, you must carry out the IMG activity described in the Release Note Harmonize Booking Relationships (Enhanced).
