Document Management (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, the following changes have been made to document management in Portfolio Management. By default, the new document management based on Knowledge Provider (KPro) is used.

KPro-Based Document Management

The document management systems of Portfolio and Project Management have been aligned. In addition to the already existing KM-based document management, a new KPro-based document management is available. The document management system that is used can be specified using a checkbox in Customizing (see 'Effects on Customizing').

The new document management layer is supported for the following portfolio objects:

  • Portfolio
  • Bucket
  • Collection
  • Review
  • Item
  • Initiative
  • Decision Point

Templates

The document management supports document templates that can be defined under Portfolio and Project Administration -> Portfolio Management Templates -> Document Templates. For each object type, you can define folders and documents that can be copied over to operative objects. To use the document templates in the operative portfolio object, you need to set the status of the document in the template to Released.

Assigning Documents

Within the document structure, the top-level node always represents the portfolio object. Therefore, no document-specific functions such as authorization and versions are supported for this node. Below the top-level node, you can create new folders and documents.

To protect the document from unauthorized access, you can define authorizations per document or folder. You can define the following authorizations per user or per role:

  • Admin
  • Read
  • Write
  • None

Within the folder structure, the authorizations are inherited from the parent folder to the folders and documents below it.

When you change the content of a document, you can either overwrite the current content or create a new version. When you create a new version, the previous document is stored as a read-only version. Versions can also be deleted from the content versions tab.

Navigation to Project/Item Documents

If you have a link between a portfolio item and a project, you can navigate directly from the documents tab of the portfolio to the project and vice versa.

KM-Based Document Management

The KM-based document management requires Java web services for integration to the KM functionality. You can only use the KM-based document management functionality if you run Portfolio Management in a portal environment and the software component PPM_KM is deployed on that portal.

With SAP Portfolio and Project Management 5.0, the KM folder for the portfolio object is created when the object itself is created. At the same time, the authorizations of the portfolio object are copied over to the KM folder. This only applies to the authorizations that are maintained directly for the portfolio object. When a user has inherited authorizations for a portfolio item, he or she is not added automatically to the KM folder. However, if he or she accesses the document in KM, the system checks the inherited authorization and adds the user during runtime as an authorization holder.

Whenever the user changes the object authorization, these changes are also transferred to the KM folder. For example, if a user is deleted as authorization holder for a portfolio item, this user is also deleted as an authorization holder for the KM folder and he or she can no longer access the item documents. As KM does not support the assignment of authorizations vias roles, the roles of the portfolio object are dissolved and all users in the role are added to the KM folder.
