Usability in Project Management (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, multiple improvements to the user interface are available. The improvements cover the adjustment of the screens to the Floor Plan Manager concept, the rearrangement of existing fields and data, as well as enhancements to the user settings. In addition, the handling of existing functionality was improved and new functionality was developed for project elements.

Floor Plan Manager Adjustments

  • The positioning of the pushbuttons simplifies the adoption of the functionality for the user when navigating between the different views. For example, the pushbuttons are disabled depending on the current processing mode. The following pushbuttons are now available in Project Managementnavigation:
  • Save; deactivated in read-only mode

  • Close

  • Read Only or Edit; the visibility of these pushbuttons depends on the processing mode

  • Print; deactivated in read-only mode and edit mode for the following views:

  • Resources

  • Accounting

  • Project Versions

  • Project Charter

  • Search

  • Export Project; always active in the project definition; deactivated in other project elements in the Structure view

  • Create Version; deactivated in read-only mode and snapshots

  • User Settings

  • Navigation between the views Detail, Table, and Graphic has been moved from the right to the left side of the screen.
  • Navigation in resource management between details, roles, and role staffing is now handled by means of sub views instead of dropdown boxes, and the tables for role overview and role staffing of the previous release are not displayed by default, to reduce the number of screens. You can make these tables visible by implementing the BAdI DPR_RES_OVERVIEW.   • The icons for Project Management are replaced by new icons. For more information, see SAP Library for SAP Portfolio and Project Management on SAP Help Portal at http://help.sap.com -> SAP Business Suite -> SAP Portfolio and Project Management -> SAP Portfolio and Project Management 5.0 -> Project Management -> Creation of a Project-> Structure Tree.

The table view and the graphical view can be configured as default view by Floor Plan Manager configuration.

Rearrangement of Existing Fields and Data

  • Fields have been reallocated between the Basic Data and the Additional Data tab, and the new Dates and Work tab is available containing all the information related to the dates and work of a project element.
  • The status management is now available via a pushbutton on the Basic Data tab and appears as a popup.
  • Details of object links, DMS Documents and status reports appear in a popup instead of being displayed directly on the user interface.
  • The activities in the Authorizations tab are aligned horizontally.

User Settings Enhancements

  • You can deactivate the navigation from the table view or graphical view to the detail view when creating project elements.
  • You can control whether the user needs to confirm element deletion.
  • The user can select default views for opening a project. The following default sub views are available:
  • Structure - Detail

  • Structure - Table

  • Structure - Graphic View

  • Staffing Overview

  • Resource Overview

  • Role Detail

  • Role Overview

  • Role Staffing

Improved Handling of Existing Functionality

  • You can create project versions directly in the project detail view using the pushbutton Create Version. You can directly select a version and create a snapshot or a simulation without having to navigate to the Project Versions view.
  • Creating a mirrored task has been improved. You can search for tasks in projects in addition to the already existing search which was only based on tasks.
  • Mass changes are now supported.
  • Multiple editing is supported in the table view as well as in the detail view for the sub object tabs task, subtasks, and checklist items. You can change an attribute for several project elements in a single step. This is supported for all column fields (with exception of the Sort Number column).

  • Multiple copy and paste and multiple cut and paste for specific project elements in the tree, table, and graphical view and the sub objects tabs Tasks, Subtasks, and Checklist Items is supported.

  • Value suggestions are available for various input fields across different screens and popups.
  • The mandatory fields check was enhanced and aligned for SAP Portfolio Management and Project Management. The mandatory fields for the focus object are now checked for all tabs when saving the project. In case there are mandatory fields on tabs to which the user has not yet navigated and filled out, an error message is displayed providing the user with the name of the field and the technical name.

Extended Availability of Information About Substitutes

  • The substitute names for a project are visible on the tasks dashboard and on the detail screen. If you maintain a substitute for a project, you can see the tasks related to this substitution on the tasks dashboard by using the My Tasks As Substituteview.
  • In addition, the substitute name appears for the project definition on the Basic Data of the detail view. A popup also provides substitute details. The popup contains a table that shows each substitute for the corresponding responsible person. The person who is responsible for the project has administrative authorization and can also maintain his or her substitute on this popup.

Changed Functionality

  • Multi-project monitor: As of SAP Portfolio and Project Management 5.0, the data is read directly from the database for better performance. This implies that the field control is not available on field level but only on column level. The former multi-project monitor version can be activated via the BAdI DPR_MPM. For more information, see Customizing for SAP Portfolio and Project Managementunder Project Management -> Structure -> BAdI: Influence or Check Functions in Multi-Project Management.
  • If a user has ACO_SUPER authorization, he or she is now able to access projects for which the activity None for his or her user is set.
  • Documents: For security reasons, it will no longer be possible to save non-standard URLs (such as file paths) as documents (the URL may contain fatal script). For more information, see SAP Notes 1236155 and 866020.

New Functionality for Project Elements

Released tasks can be deleted as long as the integration to other solutions permits it. For example, a released task cannot be deleted if it was already transferred to FI/CO.

Enhanced Functionality

  • A task can now be completed even if subtasks have been canceled. The behavior is defined via checkboxes in the customizing for the task type. For more information, see Customizing for Project Management under Structure -> Define Task Types.
  • Subtasks of a task can be edited when the task is opened from the task view. The behavior is defined via checkboxes in the customizing for the task type. For more information, see Customizing for Project Managementunder Structure -> Define Task Types.
  • Checklists that are not modifiable or only partially modifiable can now be deleted. This function is realized with the method DELETE_CHECK_ITO_CTO of the BAdI DPR_ATTRIBUTES contained in the enhancement spot DPR_ATTRIBUTES. For more information, see Customizing for Project Management under Global Enhancements to Project Elements-> BAdI: Check/Change Fields in Project Management.

Changed Functionality

  • Entries Tasksand Checklist Items
For better performance, for the entries Tasks and Checklist Items in release 5.0 only the required CGPL objects are loaded. This implies that a part of the Roles tab for tasks has been removed. You can activate the previous version by using the method SWITCH_PERFORMANCE_SIDE_ENTRY of the BAdI DPR_TREE. For more information, see Customizing for Project Management under Structure -> BAdI: Make Settings for the Structure Tree.
  • BAdI: Determine Explosion Mode for 'SAP DMS' Tab (DPR_DMS)
You use this BAdI to disable the immediate multilevel explosion when you display the document structure of a document info record on the SAP DMS tab. The initial retrieval includes only the documents and folders up to the second level to increase performance. For more information, see Customizing for Project Managementunder Documents -> BAdI: Determine Explosion Mode for 'SAP DMS' Tab.

New Functionality for Project Elements

  • Substitutes
The option to see and maintain the substitute on the project detail screen is not visible in the standard delivery of Project Management. Both fields, that is, the substitute display field and popup with the field to edit the substitute, are available in the field control.
Customizing of the field control involves the following:

  • Sort numbers for checklists
Sort numbers are now available for checklists. Up to cProjects 4.5, tasks and checklists on the same level were always ordered block wise. As of SAP Portfolio and Project Management 5.0, it possible to mix the sorting of tasks and checklists according to your needs. Tasks and checklists then share the same range of sort numbers. You can activate this functionality via a BAdI where you can define the use of the sort functionality (for example, only for a specific project type, or only for one project). You can use the method SWITCH_SORTING_ON_LEVEL of the BAdI DPR_TREE contained in the enhancement spot CPRO_TREE to allow for tasks and checklists on the same level to appear in mixed order. Adobe PDF-based print forms have been enhanced regarding sort numbers for checklists, accordingly. However, the Smart Forms for printing have not been enhanced.

New Customizing Activity for Accounting Integration

You can use the Customizing activity Make Project-Type-Specific Settings for Accounting Integration to create, change, and display Customizing related to the accounting integration for a project type.
