LOG_PP_SRN_CONF: Shift Notes and Shift Reports (New)

Use

As of SAP ECC 6.0, Enterprise Extension SCM, Enhancement Package 3 (EA-SCM 603), Business Function Shift Report/Notes, Confirmation (LOG_PP_SRN_CONF) you can enter shift notes and create shift reports to document all important information and events that have occurred during a shift.

  • Shift Note
A shift note is a brief comment on an event. Such a comment cannot be entered elsewhere (for example, in a confirmation or a maintenance notification). Examples of such events that have to be reported include:
  • Comments on a work center

  • Change of material

You can create, change, and display shift notes and create a list of shift notes entered. The transactions SHN1, SHN2, SHN3, and SHN4 are available for this purpose. To invoke these functions starting from the SAP Easy Access menu, choose Logistics --> Central Functions --> Shift Notes and Reports.
You must always create a shift note in relation to a work center, a hierarchy, or a PI resource.
The following functions are available for the entry and processing of shift notes:
  • You can enter the exact point in time (timespot) or period of time at or during which the event occurred.

  • You can assign a category, such as measurement, damage.

  • You can specify a reference object, such as production order or material.

  • When entering shift notes, you can use standard text modules.

  • You can add attachments such as Word documents and Excel tables to a shift note.

  • You can find shift notes using a full-text search function.

  • You can print the shift note.

  • You can send the shift note within the ERP system.

  • You can export a shift note as a PDF.

  • Shift Report
The shift report is a PDF document that is generated by the shift manager or production supervisor. It comprises all important information for a certain work center collected in the system during the current shift.
The PDF document of the shift report can consist of the following parts:
  • Header data and company logo

  • Shift notes

  • Confirmation data including activity confirmations goods movements

  • Maintenance notifications

  • Customers' own data

  • Graphical evaluations

You can flexibly specify which of this information is to be part of the shift report and what the layout of the shift report is to look like in Customizing for the shift report.
Note
You can only include confirmation data on production and process orders in the shift report. Confirmation data from repetitive manufacturing cannot be taken into account.
The transactions SHR1, SHR2, and SHR3 are available for creating, changing, and displaying shift reports. In addition, transaction SHR4 is available for listing the existing shift reports. To invoke these functions from the SAP Easy Access menu, choose Logistics --> Central Functions --> Shift Notes and Reports.
The following functions are available for shift reports:

  • You can print the shift report.

  • You can use a full-text search to find a certain shift report.

  • You can send a shift report within the ERP system.

  • You can create a PDF file.

Effects on Customizing

You make the Customizing settings for shift notes in Customizing under Logistics General under Settings for Shift Notes. In the first step, you must create a separate notification type for the shift note. In the following, this new notification type is termed the shift note type. For the shift note type, you can determine in detail the appearance of the shift note in the IMG activity Define Shift Note Type. You must then enter the shift note type in the basic data for the work center. For more information on the creation of a shift note type, refer to Make Settings for Shift Notes.

You make the Customizing settings for shift reports in Customizing under Logistics General under Settings for Shift Reports. To be able to create and process shift reports, you must carry out the IMG activity Define Shift Report Types. If the shift report needs to be signed, you must additionally carry out the IMG activities for the signature strategy.

Under Set Up Storage of Shift Reports and Full-Text Search, you will find the IMG activities necessary for storing the shift reports and for the full-text search in transaction SHR4. As the storage repository for shift reports, the system uses the Knowledge Provider. See also: Set Up Storage of Shift Reports and Full-Text Search.
