Document management: Various changes
Description
This note describes some of the changes and enhancements to the following aspects of the document management system:
- Structure overview
- Sequence of source documents
- Language-dependent descriptions of documents
- Transfer long text
- Chg.<->Dis. pushbutton
These features are described in detail below.
- Structure overview
- This function allows you to display an overview of all the objects (for example, material, BOM, document, change master record, routing) which are functionally linked to a document, with only the details you specifically require in the current processing situation.
- To display a structure overview, choose menu option Environment function Structure overview.
- The structure overview of a document will vary according to the objects linked to the document. If you display the structure overview of a document which has different document parts and versions, the structure overview contains these classification keys. However, if you display a structure overview of a document with object links and document structures, the structure overview only contains these classification keys.
- You have the option of exploding the structure overview down the hierarchy, such that you can explode each object independently of any other objects on the same level of the hierarchy.
In this way, you can restrict the structure overview to show only the information you really need. For example, you can display only the document parts and document structures for a document.
- You can see which objects can be exploded down further, as these have the special character + against them in the tree.
- Objects which you have exploded down to the lowest level of the hierarchy have the special character - against them in the tree.
- Sequence of source documents

This function is in the Environment menu. The function allows you to display the documents from which data has been copied to the current document.
You see a list of source documents with the date on which they were created and the user who created them. If a document has been used as a source for more than one document, it is listed with the number 001, followed by documents created by copying from the source document with consecutive numbers. The last document in the list is the document you are currently processing.
- Language-dependent descriptions of documents

Previously, if you wanted to enter a short text description in several languages, you had to keep changing
the language in the Languagefield before you could enter the new text.
Entering multi-lingual texts has now been made easier.

From the "Basic data" screen, the Lang-dependent texts pushbutton takes
you to the Language-dependent texts dialog box, where you can enter the short text descriptions in several languages one after the other.
From this dialog box, you can also go to the long text editor. Once you save your long text, you see the dialog box again, ready for you to enter short and long text descriptions in the next language.
- Transfer long text
- This function is in the Edit menu. The function allows you to import text from a local text file to your long text or export your long text to a local file. The following formats are supported: RTF, ASCII, ITF.

Note:
If you import a text to an existing long text, the system inserts the transferred text at the end of the existing text.
- Chg.<->Dis. pushbutton

This pushbutton allows you to change processing mode on the "Basic data" screen. The system makes the authorization checks defined.
If you have changed data in change mode and want to switch to display mode, you see a message asking you whether you want to save your changes.
