Grantee Management: Archiving (New)

Use

As of SAP ECC 6.0, Enterprise Extension Public Sector Management (EA-PS 603), Enhancement Package 3, the Grantee Management (GM-GTE) solution includes an archiving feature that provides the following new archiving objects:

  • GM_DOC_AC to archive received actual and commitment records
  • GM_DOC_BD to archive budget records
  • GM_DOC_TT to archive summarized budget and actual totals
  • GM_MD_GR to archive per grant related master data information

In addition to the above new archiving objects, the GM-GTE archiving function enhances the business partner archiving object CA_BUPA with the addition of sponsor-related archiving activities.

Associated with enabling data archiving in Grants Management (GM), the GM line item report GMLINEITEMS has been replaced with a function allowing you to report also budget or commitment/actual items from the data archives. This GM document display feature is also available for accessing the GM documents from other modules, such as the display of associated accounting documents in the FI document display transaction.

In addition, GM-GTE is connected to the Document Relationship Browser (DRB) providing the relationships information for budget or commitment/actuals records. This requires the creating of infostructures SAP_GM_DOC_AC_1 for archiving object GM_DOC_AC and archive infostructure SAP_GM_DOC_BD_1 for archiving object GM_DOC_BD in the Archive Information System. They need to be available and populated for the DRB to retrieve relationship information on archived records.

The GM archiving function comes with the following additional configuration step:

Define Residence Time

Use this step to define the residence time that controls GM-GTE data archiving as well as provide the enhancement spot GM_ARCHIVE_BADIS with BAdI GM_ARCHIVE_EXIT to make the function adjustable.
