Initiating a telephone call directly from a sales activity (SAPphone).

Description

As of Release 3.1G, you can telephone the customer or contact person directly from the sales activity overview screen in Sales Support.

To be able to use the direct call function, you must first fulfill the prerequisites described in the Installation information section.

Once you have set the system to support the direct call function, you can initiate a call as follows:

  • Click on the telephone icon next to the customer or contact person in the overview screen.
The 'Create Telephone Call' dialog box which appears contains the telephone number proposed by the system, the name and company of the person you are calling, as well as the country ID of the country to which the call is being made. The system uses this ID to determine the appropriate country code for the telephone number.
The system calculates the complete telephone number and displays it to the right of the root telephone number. This second number is simply the root number with its country code and/or any other relevant preliminary numbers required to make the call, such as a zero to reach an outside line. This is the number that is actually dialed by the system.

  • If required, you can maintain a different telephone number and country in the dialog box. However, the complete number to be dialed will not appear next to your manual entry unless you first choose 'Refresh'.

To determine the telephone number of the customer, the system accesses data in the following order:

  • the telephone number in the partner detail screen within the document
If you want to change the data in the partner detail screen, choose Goto -> Partner. Mark the relevant customer in the 'Other partners' section and choose Details. Enter a temporary address and telephone number. The data you enter here is valid for this one document only.

  • the first telephone number stored in the customer master data

  • the second telephone number stored in the customer master data

To determine the telephone number of the contact person, the system accesses data in the following order:

  • the telephone number for the contact person within the document in the partner detail screen
If you want to change the data in the partner detail screen, choose Goto -> Partner. Mark the relevant contact person in the 'Contact person (customer)' section and choose Details. Enter a temporary address and telephone number. The data you enter here is valid for this one document only.

  • the telephone number stored with the business address in the contact person master data

  • the telephone number maintained in the customer master data
Select Logistics -> Sales/distribution -> Master data from the main menu. Branch to the screen for creating or changing data for the sold-to party. Choose Contact person in the 'General data' section to enter or change a telephone number.

  • the telephone number stored with the home address in the contact person master data

If no telephone numbers have been maintained for a customer or contact person, a dialog box appears in which you can manually enter a number.

The direct call function is available in Sales Support for sales calls, telephone calls and sales letters, however not for mailings.

You cannot use the direct call function when you are displaying a sales activity as it is not possible to record information on a telephone call in the display mode.

Software/hardware requirements

Your telephone system must be connected to the R/3 System.

Installation information

To be able to use the direct call function, you must first:

  • connect your telephone system to the R/3 System

  • set up SAPphone for the relevant work center with the menu option SAPoffice -> Administration -> SAPphone -> Work center, or transaction SPHA

Here, you can assign an ID to the work center, and enter a telephone number and server. Make sure you select the checkbox to activate sales support for outgoing calls. Telephone icons which allow you to make outgoing calls will then appear next to the customer and contact person fields in the relevant sales activity overview screen.

Changes to the Interface

The following additions have been made to the sales activity overview screen:

  • Icon to enable you to initiate telephone call to customer
  • Icon to enable you to initiate telephone call to contact person

Planning

In future releases, you will be able to display a list of all the telephone numbers defined for the partner you want to contact. You can then select the required number from this list.
