Correspondence Monitor

Scope of Functions

The correspondence monitor (transaction TBZ11) offers new processing and monitoring functions based on the correspondence overview (transaction TBZ8) that already exists.

The most important functions are:

  • Symbols to provide a visual overview of the current processing status (OK, counterconfirmation required, correspondence output required, transaction matched). User exit RFTBCOMO allows you to adjust this overview or activity list to suit your requirements. You can, for example, set a red symbol for an overdue counterconfirmation from business partner X if more than 45 minutes have elapsed and no counterconfirmation has been received.
  • You can set the counterconfirmation status to matched from the correspondence monitor itself. This enables you to manage a counterconfirmation status for all product categories which allow outgoing confirmation. The underlying concept is quite different from that of the previous version, which will continue to be supported:
    On the one hand, the existing function for the Money market, Foreign exchange and Currency options areas tries to match a transaction from the transaction data you enter manually (deliberately omitting the transaction number key). On the other hand, you now have the option of using the correspondence monitor to check and/or match a counterconfirmation outside the R/3 System and to set the transaction status to 'matched'. This procedure also allows you to manage, for example, the status of complex derivatives transactions, which are extremely difficult to match automatically. To exclude this type of counterconfirmation individually, activity 83 (= counterconfirmation) has been added to the transaction authorization function [object T_DEAL_PD; authorization function 04 (=correspondence)]. This authorization is checked from the correspondence monitor when the counterconfirmation is set.
  • You have the option of outputting planned correspondence from the correspondence monitor itself.
  • You can repeat correspondence which has already been generated. This function allows you to reset, for example, an unsuccessful correspondence run (for example, when the printer has run out of toner).
  • You can navigate to the IDoc processing function, to the transaction (history) or to the display from the optival archive.

The correspondence monitor has been developed with the ABAP List Viewer. It includes a whole range of functions which enable you to set up individual lists. You can specify the display variants when you start the report program.

Note that when you upgrade from a system <=4.5A, some of the monitor functions are only available for correspondence/transactions which were created in Release 4.5A or later. One example of this is the counterconfirmation function from the monitor. It is also not always possible to assign the processing functions correctly, such as 'counterconfirmation required' for old transactions or their related correspondence.
Since when you use the monitor, only the last days are included, this deficit is no longer important after your system has been productive for a few days.
