Define expenses that are used in the delivery of projects. To enable and ensure reporting on actual expenses in a project, you must also map relevant G/L accounts where costs are posted.

You can define expenses and map the respective cost accounts for project reporting. After this, you must also map these expenses in the configuration step Map Resources to Resource Types.

You can delete an expense only if the following deletion checks are successful in the quality and production systems:

  • There are no actual postings in any of the G/L accounts mapped to the expense.
  • The expense has not been used in project planning.
  • The expense has not been mapped to a resource type in the configuration step Map Resources to Resource Types.

Follow these steps to add an expense:

  1. Select the configuration step Define Expenses and choose New Entries.
  2. Enter an expense ID and description, then choose Save.
Note: We recommend using an ID that begins with E. However, you cannot create an ID if it matches that of an existing activity type.
  1. Select the newly created entry and choose the step Map Expenses with Key Figures.
  2. Add the key figure Cost and choose Save.
  3. Select the key figure and choose the step Map Key Figure with G/L Account.
  4. Enter the chart of accounts and G/L accounts to which expenses are posted. This information is mandatory.
Note: Please ensure that you do not assign a chart of account and G/L account combination to more than one expense.
  1. Choose Save.

Airfare, Accommodation, Meals, and so on.
