In this IMG activity, you define the alert categories that you want to use as message destinations. You can use alert categories, for example, to send alerts from PI sheets, external process control systems, or manually to one or more recipients without delay. The alerts can be sent to the recipient, for example, via e-mail or SMS.

The definition, administration, and delivery of alerts takes place on the SAP alert server. You can integrate the SAP alert server with your system landscape as follows:

  • The SAP alert server in the SAP application system is to be used as the alert management system.
  • The SAP alert server in an SAP system other than the application system is to be used as the alert management system.

Depending on how you integrated the SAP alert server with your system landscape, you must make the basic settings in the relevant systems as follows. These settings apply to all alerts in all alert categories:

In the SAP Application System

RFC Destination
  • If the SAP alert server in the SAP application system is to be used as the alert management system, you enter None as the RFC destination.

  • If the SAP alert server in another SAP system is to be used as the alert management system, you enter the RFC destination of the corresponding SAP System.

In the Alert Management System

  • User Master
    Depending on the communication medium, you enter, for example an e-mail address or a mobile phone number for SMS in the user master of the alert recipients.
  • Alert Categories
    In this step, you specify the following:
  • An alert category
    This also is the destination address for the message destination of type 5.

  • A short text and a long text for the alert category

  • If required, a container with specific text variables
    They also are the destination-specific target fields for your message destination of type 5. At runtime, the system replaces the text variables with current values.

  • If required, hyperlinks for subsequent activities

  • Destination Assignments
    You can define the alert recipients as follows:
  • Fixed recipients
    You assign individual users as recipients of the alert category.

  • Recipients via user roles
    You assign individual roles as recipients of the alert category. All users having this role are notified automatically when an alert of this category was sent.

  • Role assignment for authorizations
    When you choose this option, you can determine the authorizations for subscribing to certain alert categories via a role.

a) You define a role that contains the authorization for subscribing to alert categories.
In this role, you define the menu entries Set Up Delivery Type, Subscribe to Alert, and Alert Inbox as a BSP application.
b) You assign this role to the alert categories to which the users having this role may subscribe
c) If this role has been assigned to you, you can add the menu entries contained in this role as a BSP application to your favorites.
d) You call up the BSP application Subscribe to Alert.
An overview of all alert categories to which you may subscribe via this role is displayed. In the Subscribed column, you can subscribe or unsubscribe an alert category.
The standard system contains the role SAP_PP_PI_ALERT_MGMT_STD as an example. It already contains the above menu entries as BSP application.
