In this Customizing activity, you define checklists and checklist profiles. In addition, you assign the defined checklist profiles to specific transaction types.

A checklist is a list of steps to be performed by one or more users to fulfill a task, while a checklist profile consists of a number of checklist-related settings, including the checklists themselves.

If you want to use automated determination of a checklist, or a checklist step partner, then rule modeler profiles have to be defined in the Customizing activity Define Service Manager Profiles.

Make the specified settings in the following sections:

  1. Define Steps
    1. Define the steps that can be used to build a checklist. This includes the item category usage, which, along with transaction type, determines the item category for each step. You also can directly define an item category. In this case the automatic item category determination is not used.
    2. Define the text types to be used for the checklist step. If required, add standard text for the work instruction text type.
  2. Define Options
Define the option ID and description.
  1. Assign Step Options (under Define Steps)
Assign any number of options to a checklist step.

Note that steps 2 and 3 above are optional.

To define a simple checklist, do the following:

  1. Define Checklist
Define a checklist and its lock profile to determine whether the checklist will be locked once you save it for the first time, or at runtime once the first step has been started.
  1. Assign Steps
To assign steps to a checklist enter the step ID and make the following settings:
  • Specify whether or not the step is mandatory. Note that you cannot cancel mandatory steps.

  • Enter the partner function, which indicates the relevant step processor. The partner function you select appears as the default for this step on the UI, but it can be modified.

  • Enter a service manager profile, which enables you to link rule policies to automatically determine the business partner for the step. The service manager profile SRQM_CHKLST_BP (Checklist Step Partner Determination) is delivered by default and can be used as the rule modeler profile for checklist step partner determination. This is defined in the Customizing activity Define Service Manager Profiles.

  1. Assign Next Steps
Assign the next step for each step in a checklist if the steps should be processed sequentially or in a mixed sequential and parallel mode. More than one next step can be assigned for each step. If you assign multiple next steps, they will be recognized as parallel steps. You do not need to maintain next step information if all checklist steps are to be processed in parallel.

To define a decision-based checklist, do the following:

  1. Define Triggers
Create a new trigger with a meaningful trigger text. Optionally, an icon can also be selected. Triggers will normally appear as buttons in the WebClient UI. If a trigger is defined without a trigger text, this trigger will not be shown in the checklist.
  1. Define Decision-Based Checklist
Define a checklist and its lock profile to determine whether the checklist will be locked. This occurs once you save it for the first time, or at runtime when the first step has started.
  1. Assign Steps
To assign steps to a checklist, enter the step ID and check the first step of the checklist in the Initial Step column.
  1. Assign Partners
Enter the relevant partner functions. Additionally, a service manager profile can be added for each partner function. This enables you to link rule policies to automatically determine a business partner. Alternatively, you can add a partner determination procedure to determine a business partner.
  1. Assign Links
To assign logical links, enter an ID and description. This is shown on the WebClient UI. Optionally, you can also maintain a sequence number to enforce a certain order of the links.
  1. Assign Triggers
To assign a trigger,enter a trigger ID. Optionally, you can select the Finalize checkbox and maintain the Next Step field if the trigger will cause the closing of the current step and the opening of the next one. By doing so, you define the sequence of the checklist steps within this checklist.
  1. Assign Actions
To assign an action defined in the Action Framework, enter the action ID. The actions are processed when the trigger is executed.
Note
On the WebClient UI, the displayed list contains only the defined started step and all steps which are referenced on the first displayed trigger. To change the displayed steps, you can add triggers without trigger textas first triggers with next steps defined.
  1. Define Checklist Profiles
Define a new checklist profile, which can include a rule modeler profile. You can assign a rule policy to the rule modeler profile. This rule policy automatically determines the checklist ID at runtime. The service manager profile SRQM_CHKLST_ID (Checklist Determination) is delivered by default and can be used as the rule modeler profile for checklist determination. This is defined in the Customizing activity Define Service Manager Profiles.
In this activity, you can also enable SAP Business Workflow integration. This is used to notify the processor of a pending step.
  1. Assign Checklists
Assign checklists to a profile.
  1. Assign Checklist Profiles to Trans. Types
Assign checklist profiles to transaction types. This is necessary to provide a selection of checklists, and to process a selected checklist in a business transaction.
