In this Customizing activity, you can maintain the possible default values for activity journal display frequency. This means that you specify how often an activity journal should be displayed during activity processing, for example, once a month, once a week and so on. This serves as a reminder that the corresponding activity journal should or could be filled out, depending on whether it has additionally been marked as mandatory. For example, if you specify a weekly activity journal display frequency, the system prompts you to fill out the activity journal every week. The following default values are available with the standard delivery:

  • Always (P)
  • Monthly (M)
  • Bi-weekly (B)
  • Weekly (W)
  • Once (O)

The above default values are automatically available during activity journal template type maintenance.

You can also change the long text descriptions for any of these default values.

Additional default values

You can also specifiy your own default values for activity journal frequency. To do so, proceed as follows:

  1. Make a new entry in this Customizing activity
  2. Adapt the subroutine WHERE_CLAUSE in the function group CRM_ACTIVITY_I_TOOLS, in package CRM_ACTIVITY_I.

The system checks the activity journal display frequency settings you have made here for the activity partner and sales partner.

Standard default values

If you choose the activity journal display frequency Monthly, the activity journal is displayed once for each calendar month for as long as you do not change the settings. This means, for example, if you process the corresponding activity for the first time on January 30th, the system displays the activity journal on January 30th. If you then process the corresponding activity again on Febraury 2nd, the system again displays the activity journal on February 2nd.

The same principle applies for weekly and bi-weekly activity journal frequency. For example, the system displays the corresponding activity journal in week 40, and again in week 42, regardless of how many days have passed between the two weeks in question.

If you do not fill out the activity journal for the specified month (for example, if you specify the frequency as monthly), the activity journal is displayed every time you maintain the corresponding activity, even if you process the activity more than once in the same month. If the frequency specified is anything other than "once", the system continues to display the activity journal in question until it is filled out. Once it has been fill ed out, it is not displayed until the start of the next period, for example, the following month if you have specified a monthly frequency.

Note that activity journal frequency is based on a Monday to Sunday working week. This means that if you specifiy a different working week, for example, starting on a Sunday, and then want to use the activity journal frequency Weekly, the activity journal frequency may not be determined correctly. For example, if your sales representative visits a customer on a Monday, the template will be displayed. However, if the sales representative visits a customer again on the following Sunday (in this case, the first working day of the following working week), the activity journal will not be displayed again because the system will think it has already been displayed for the working week running from Monday to Sunday.
