In the pharmaceuticals industry, it is often essential that field sales representatives record doctors' signatures each time they distribute samples, both for legal and auditing purposes. This Business Add-In (CRM_ACT_PHARMA_CHECK) enables you to upload signatures to CRM Enterprise,where you then store them as archived documents. Signatures are recorded either on a Personal Digit Assistant (PDA) or a tablet computer.

  • In order to work with signatures in CRM Enterprise , you first need to activate the implementation CRM_PHA_SIGN for this Add-In, which is available with the standard delivery. This implementation enables you to record signatures for all products with a quantity > 0. If however you wish to define further criteria regarding which products require signatures, for example, only products with at least three items, you can create your own implementation for Add-In CRM_ACT_PHARMA_CHECK.

  • You also need to have enabled signature recording in CRM Mobile. You do this by enabling the application parameter ACTSIGNATURE in Mobile System Maintenance, in the Cross-Component Settings business component -> Application Settings. You enable this application parameter once, before you start working with signatures.
Once you have enabled this in CRM Mobile:
  • Signatures can be recorded for all products, regardless of the quantity, that is, either for products that have been marked in the activity journal as Discussed (quantity is 0) or products with quantity > 0.

  • The user status for the activity is not set to Completed until a signature has been entered.

  • In order to upload the signature from CRM Mobile to CRM Enterprise as an archived document, you need to enter the document PHA_SIGN (Mobile Signature) in the implementation guide under SAP Web Application Server → Basis Services → Archive Link → Basic Customizing → Edit Document Types.
  • Next, you need to assign the document PHA_SIGN to the object type BUS20000126 (business activity). You do this in the implementation guide under SAP Web Application Server → Basis Services → Archive Link → Basic Customizing → Edit Links.

Once the signature has been recorded in the activity in CRM Mobile, it is saved automatically, and the user status of the activity is automatically set to Completed. From this point on, the following entries can no longer be made or changed in the activity in CRM Enterprise or CRM Mobile:

  • Activity Journals

You cannot add new activity journals, or delete or modify existing journals.

  • Products

You cannot add products to or delete products from the template, or change the quantity.

  • Activity partner, contact person, sales representative
  • Status

The user status cannot be changed in CRM Mobile once the activity user status has been set to Completed. Next, a check is carried out in which the products and the signature are given a unique ID, before the signature is uploaded to CRM Enterprise. The same check is then carried out in CRM Enterprise, in order to check that the unique ID from CRM Mobile matches that of CRM Enterprise. If the values match, the activity system status in CRM Enterprise is set to Signature Capturedand if the values do not match, the status is set to Signature not OK.

Neither system status nor user status can be changed in CRM Enterprise.

  • Dates

The date on which the samples were handed out cannot be changed, as this date is needed for auditing purposes later.

  • Signature

The signature cannot be edited or copied to other documents. This applies for CRM Enterprise and CRM Mobile.

  • Business Partner Address
Specifics of CRM Enterprise: Authorization to Edit Signature

If you want to allow certain users to display or edit the signatures in CRM Enterprise, you can set up authorizations in the SAP Easy Access Menu, under Architecture and Technology → System Administration → User Maintenance → Role Administration → Authorizations and Profiles (Manual Maintenance) → Edit Authorizations Manually. You need to enter the following data in this activity:

Object class: BC_Z (Basis - Central Functions)

Authorization object: S_WFAR_OBJ (Archive Link: Authorization for access to documents)

Document type: PHA_SIGN

Object type: BUS2000126 (business activity)

Here, you can set further values for user authorization, for example, create or generate, change, display, print, edit messages, delete, administer. To do this, choose Goto → Maintain values in the menu bar.

Once you have set up the authorization, you need to assign it to a specific role. You do this in the SAP Easy Access Menu, under Architecture and Technology → System Administration → User Maintenance → Role Administration → Roles.
