You can use workflow with the approval process of requests for change (RfC) so that approvers are notified of RfCs that require approval.

You can make the following settings to integrate workflow into the approval process:

  • Load workflow template for approval process
  • Activate workflow-triggering event
  • Make step Approve Request for Change a general task
  • Make settings for business partners

Ensure that the Inactive checkbox is not selected for the action definition IT_RFC_APROVAL_WORKFLOW in the action profile IT_REQUEST_FOR_CHANGE in Customizing for Customer Managementunder Basic Functions → Actions → Actions in Transaction → Change Actions and Conditions → Define Action Profiles and Actions.

To configure the workflow template, do the following:

  1. Launch the transaction Workflow Builder (SWDD).
  2. Search for the workflow template CRM_RFC_APRV.
  3. Click the Basic Data icon in the toolbar.
  4. Choose the Start Eventstab page.
  5. Ensure that the event REQUESTTOBEAPPROVED has the status Active, or else workflow will not be triggered.
  6. Choose the workflow step 000012 Approve Request for Changefrom the Navigation Area.
  7. Display the task.
  8. From the menu, choose Additional Data -> Agent Assignment -> Maintain.
  9. Select the task Approve Request for Change and click the Attributespushbutton.
  10. Ensure General Taskis selected and click Transfer.

To ensure that all business partners receive e-mails and work items sent by workflow, make the following settings in transaction Maintain Business Partner(BP):

  • In Display in BP role, choose Employee.
  • In the Identification tab, under Employee Data, ensure that User Name is filled.
