Assign Rule Variants and Rule Groups for Customer/Supplier

In this Customizing activity, you define application rule variants for applications that use customer or supplier master data or contact persons. You define application rule variants for a combination of ID type, application name and rule group.

In Customizing for Information Lifecycle Management (transaction IRMPOL), you can define rules for customers, suppliers, or contact persons for the following purposes:

  • Residence durations with reference to the applications that correspond to the combination of application name and application rule variant. The applicable rules for residence durations are evaluated in the end of purpose check for customers, suppliers, or contact persons for these applications. Data for customers, suppliers, or contact persons is blocked when the end of purpose is determined for all relevant applications and the residence time you defined is over.
  • Retention periods with reference to the applications that correspond to the combination of application name and application rule variant. The applicable rules for retention periods are used for the destruction of data for customers, suppliers, or contact persons. The retention periods maintained for your master data should correspond to the retention periods defined in the related ILM objects which represent the transactional data that belongs to the master data. This means double maintenance, however, this process ensures that data for customers, suppliers, or contact persons is not deleted before the application data that is to be stored the longest.

Depending on the application that use customer or supplier master data or contact persons, you need to assign ILM rule groups to the defined application rule variants. ILM rule groups are defined for the ILM objects of an application in transaction IRM_CUST_CSS. You assign them to the retention rules maintained for the ILM objects of the application in transaction IRMPOL.

By this the EoP check functionality of this application is able to determine, which application rule variants are to be considered based on the existing application data. By this the relevant residence rules of the found application rule variants are used for the determination of the end of purpose date. In addition the application specific start of retention dates are stored for these application rule variants, so that only the relevant retention periods with the correct time reference are used during destruction of customers, suppliers, or contact person data.
