In this activity, you activate the workflow events that automatically update some of the procurement milestones for an externally procured material or service based on changes in the purchase order and posting of the goods receipt. You do this by activating the necessary event type linkages in your system.

You can monitor the procurement process of non-stock components and external services in the SAP Fiori apps Manage Maintenance Backlog and Maintenance Backlog Overview. The following milestones can be tracked by the system:

  • Purchase Requisition Created
  • Purchase Requisition Released
  • Purchase Order Sent to Vendor
  • Order Confirmed by Vendor
  • Order Shipped
  • Order Received in Full

The completion of the milestones Purchase Order Sent to Vendor, Order Confirmed by Vendor, Order Shipped, and Order Received in Full is triggered by certain changes in the purchase order and the posting of the goods receipt. To enable the system to react to these changes and update the corresponding milestones automatically in the Manage Maintenance Backlog app and Maintenance Backlog Overview app, you need to activate event type linkages for the following object types:

  • CL_MM_PUR_WF_OBJECT_PO
  • CL_APOC_OUTPUT_STATUS_EVENTS
  • BUS2012
  • CL_MMIM_MATDOC_EVENT

The object types CL_MM_PUR_WF_OBJECT_PO, CL_APOC_OUTPUT_STATUS_EVENTS, and BUS2012 react to the creation of the purchase order in different scenarios and trigger the workflow that updates the milestone Purchase Order Sent to Vendor. The object type BUS2012 reacts to updates in the purchase order and triggers the workflows that update the milestones Order Confirmed by Vendor and Order Shipped. The object type CL_MMIM_MATDOC_EVENT reacts to the posting of the goods receipt and triggers the workflow that updates the milestone Order Received in Full.

The milestones Purchase Requisition Created and Purchase Requisition Released are updated automatically when saving the maintenance order. You don't need to activate an event type linkage to enable the system to update these milestones.

We recommend activating all event type linkages that are available in this activity. If you do not activate one or more event type linkages, the corresponding procurement milestones will only be updated when the maintenance order is opened in change mode and saved again the next time.

For each object type, choose the option Linkage Activated under Linkage Setting (Event Receiver). Note that the available event type linkages are activated by default in client 000.
