In this Customizing activity, you define the roles that should be available in E-Recruiting and assign a reference user, which you created in user maintenance, to each role.

Roles have the following relevance:

  • Roles enable you to ensure that the individual users have the right authorization profiles. In E-Recruiting, a reference user is assigned to a role. The reference user incorporates user roles which, in turn, contain the authorization profiles. When you create a new user, you can assign it an E-Recruiting role. The new user inherits the authorization profiles of the reference user assigned to this role.
  • Roles are also used in the context of support teams. Support teams are responsible for the various requisitions and applications. The individual members of the support team are assigned one of the roles you define here to specify their function in the team.

The Significance of Roles When Creating Users:

  • External candidates are assigned a user when they register. The user refers to the reference user that is assigned to the role Candidate (External).
  • You can create internal users for individual persons with program RCF_CREATE_USER if you run SAP E-Recruiting in a separate system. In doing so, the user is assigned the reference user of the role you specified when you created the user. If SAP E-Recruiting is integrated, the program may not be used as the system then assigns the users for each standard HR transaction.
Note
A user refers to one reference user only. If you want to assign more authorization profiles to the user, you must manually assign other user roles to the user.
  • You can load internal users (employees) into the system by ALE (standard scenario). In the process, the role Candidate (Internal) is assigned automatically to each new user.

You have performed the Customizing activity Create User Profiles.
You have created reference users and assigned user roles to these users in the Customizing activity Create Special Users.

The table of roles is a system table with a specific namespace for customer entries.

The customer namespace is: Roles 9*

Caution

You may change but not delete the following roles:

  • 1 Candidate (Internal)
  • 2 Manager
  • 5 Candidate (External)
  • 6 Administrator
  • 7 Recruiter
  • 9 Data Entry Clerk
  • 10 Requester
  • 11 Decision Maker
  • 12 Succession Planner
