In this Customizing activity, you maintain various configurations for the mail sent regarding an advanced claims request.

You can configure the system to send mails to employees, approvers and administrators for a request based on its status and phase. You can also define the attributes with which the mail should be sent.

  1. Select the Reimbursement Type, the Request Type, and in case of an LTC-specific reimbursement type. also select the relevant LTC Scheme Code.
  2. Create, edit or delete an entry for a particular combination of request phase and status with the following fields:
    1. Select a Request Phaseand a Request Status.
    2. In the Periodssection, provide the start and end date of the validity period of this configuration.
    3. If the mail should be sent as soon as the request is in the phase and status chosen above, select Mail Immediately.
    4. For the employee, the approver and the administrator, maintain the subject of the mail, the document ID of the file that contains text for the mail, as well as other settings such as Attach PDF Document and Mail with High Priority.
Note: Using transaction SE61, a Text Document ID should previously be created with the text content to be included in the mail.
  1. Save your changes.

Consider that a company X, wants that if an employee creates a request of reimbursement type SLTC and request type Encashment, when the request phase is In-Process and the request status is To Be Approved, then the system should send a high priority mail to the approver with a PDF attachment. To do so, maintain the following values in this table:

  • Select the reimbursement type as SLTC
  • Select the request type as Encashment
  • Select the request phase as In-Process
  • Select the request status as To Be Approved
  • In the Approversection, select the following checkboxes:
  • Send Mail

  • Mail with High Priority

  • Attach PDF Document

  • Specify the mail document

  • Save your entries.
