In this Customizing activity, you enable the creation of Form W-4 for states via Employee Self-Services (ESS).

In the standard system, only the creation of Form W-4 for the Federal tax authority is enabled. This means that when the employee accesses the ESS scenario for Form W-4, in the standard system, only one creation pushbutton is available, Create Form for Federal.

After you execute this activity and make the settings for a specific state, for example, California (CA), the employee sees an additional pushbutton. In this example it would be named Create Form for California.

  • The state supports Form W-4.
  • The employee has a record in one of the following infotypes:
  • Addresses(0006) infotype

  • Residence Tax Area(0207) infotype

  • Work Tax Area(0208) infotype

  • Unemployment State(0209) infotype

If an employee has a record in one of the infotypes listed above, and you enable the form creation for the state in this activity, the employee will be able to create the Form W-4 for that same state on the ESS portal.

You can check the standard settings which enable only the federal Form W-4 in Customizing activity SAP: Define Field Characteristics. Execute the activity and enter 0210 in the Infotype field.

Execute this activity and make the required entries for each desired state.

You want to enable the creation of the Form W-4 for the State of California. You make the following entries in this customizing activity:

  • Versionfield: 10
  • Subtypefield: CA
  • Structurefield: HCMT_BSP_PA_US_R0210
  • Field name field: SUBTY
  • Required entry checkbox: Selected

Leave all remaining checkboxes deselected.
