If a response is created based on a policy, an e-mail notification is sent out when the policy reaches the Published status. The purpose of the notification is to alert the risk owner / risk manager and make it possible to edit the effectiveness of the response.

SAP delivers standard e-mail texts which can be edited by the customer using transaction SE61.

You can check the definition or formulation of the standard text as follows:

  • Document class: ,,General Text
  • Document name: ,,GRRM_RESP_POLICY_UPDATED

Each e-mail text is assigned to a message class. When the email is sent out, the notification engine searches for the text using the message class. The text is linked with message class 0RM_RESP_POLI_UPDATE. This can be checked via transaction SM30, view GRFNVNOTIFYMSG.

  1. To set up your own e-mail texts, define them via transaction SE61 (for example, using the document class General text and the document name = Z_RESP_POLICY_UPDATED). Note that you can insert data values in the text via placeholders. The following placeholders are available:

%RESPONSE% Response technical ID
%RESPONSE_T% Response name
%POLICY_VER_ID% Policy technical ID
%POLICY_T% Policy name
%EFFECTIVNESS% Effectiveness value
%COMPLETION% Completeness value

  1. Call up the Customizing activity Maintain Notification Messages. Create a new entry for the message class 0RM_RESP_POLI_UPDATE and link it with your previously defined text, for example, Z_RESP_POLICY_UPDATED.
