Through client groupware integration, a sales professional can synchronize tasks, appointments, and contacts between Microsoft Outlook or IBM Lotus Notes, and SAP CRM (in both directions). In this activity, you make settings that are relevant for synchronization.

Check whether the default values for the following parameters meet your requirements, otherwise enter alternative values (bearing in mind the prerequisites described below):

  • DEFAULT_APPT_PROC_TYPE
The default transaction type for an appointment created in Microsoft Outlook. Appointments with the category 'SAP CRM' in the mail client are created in SAP CRM with this transaction type during synchronization.
  • DEFAULT_APPT_TEXTTYPE
The text type of appointment notes created in Microsoft Outlook. Appointments notes with the category 'SAP CRM' in the mail client are created in SAP CRM with this text type during synchronization.
  • DEFAULT_CONT_TEXTTYPE
The text type of contact notes created in Microsoft Outlook. Contact notes with the category 'SAP CRM' in the mail client are created in SAP CRM with this text type during synchronization.
  • DEFAULT_TASK_CANCELLED
Corresponds to the task status 'Deferred' in Microsoft Outlook. Tasks with the status 'Deferred' and the category 'SAP CRM' in the mail client are created in SAP CRM with the specified value during synchronization.
  • DEFAULT_TASK_COMPLETED
Corresponds to the task status 'Completed' in Microsoft Outlook. Tasks with the status 'Completed' and the category 'SAP CRM' in the mail client are created in SAP CRM with the specified value during synchronization.
  • DEFAULT_TASK_INPROCESS
Corresponds to the task status 'In Progress' in Microsoft Outlook. Tasks with the status 'In Progress' and the category 'SAP CRM' in the mail client are created in SAP CRM with the specified value during synchronization.
  • DEFAULT_TASK_OPEN
Corresponds to the task status 'Not Started' in Microsoft Outlook. Tasks with the status 'Not Started' and the category 'SAP CRM' in the mail client are created in SAP CRM with the specified value during synchronization.
  • DEFAULT_TASK_PROC_TYPE
The default transaction type for a task created in Microsoft Outlook. Tasks with the category 'SAP CRM' in the mail client are created in SAP CRM with this transaction type during synchronization.
  • DEFAULT_TASK_TEXTTYPE
The text type of task notes created in Microsoft Outlook. Tasks with the category 'SAP CRM' in the mail client are created in SAP CRM with this text type during synchronization.
  • MAX_SEARCH_HITS_ACCOUNT
The number of search items for an account to be displayed in the 'Relate to CRM' search results.
  • MAX_SEARCH_HITS_CONTACT
The number of search items for a contact to be displayed in the 'Relate to CRM' search results.
  • MAX_SEARCH_HITS_EMPLOYEE
The number of search items for an employee to be displayed in the 'Relate to CRM' search results.
  • MAX_SEARCH_HITS_REFDOC
The number of search items for a reference document to be displayed in the 'Relate to CRM' search results.
  • REL_NAME_MY_ACCOUNTS
The relationship category of an employee responsible for accounts. All the contacts assigned to the accounts that are relevant to the user are considered for synchronization. This can be changed according to customer-specific naming conventions for the relationship of an employee to the account.
  • REL_NAME_MY_CONTACTS
The relationship category of an employee responsible for contacts. The system uses this to select contacts relevant for synchronization.

The following parameters are also available (you enter them manually in the table as required):

  • BLOCK _CONT_NEW_(SPECIFIED BUSINESS ROLE)
This blocks the creation of new contacts. It also blocks the associated actions of creating a new account as well as adding a new address to an existing account.
  • BLOCK_ACNT_NEW_(SPECIFIED BUSINESS ROLE)
This blocks the creation of new accounts.
  • BLOCK_ACNT_ADDR_NEW_(SPECIFIED BUSINESS ROLE)
This blocks the creation of a new address for an existing account.
  • BLOCK_CONT_WO_ACNT_RELN_(SPECIFIED BUSINESS ROLE) used with BLOCK_ACNT_NEW_(SPECIFIED BUSINESS ROLE)
This blocks the creation of contacts with personal information (private address and communication details) when account creation is disabled.

If you want to change the default values of the parameters, bear in mind the following:

  • Default transaction type for new appointments and tasks: The new value must be defined in the Customizing under Customer Relationship Management → Transactions → Basic Settings → Define Transaction Types.
  • Default text type for appointment notes, task notes, and contact notes: The new value must be defined in Customizing under Customer Relationship Management → Basic Functions → Text Management → Define Text Determination Procedure. Choose the following:
  • Business Activities for appointment notes

  • Task for task notes

  • BUT000for contact notes

  • Default status code for statuses "Open", "In Process", "Completed", and "Rejected": The new value must be defined in Customizing under Customer Relationship Management → Transactions → Basic Settings → Status Management → Define Status Profile for User Status. Edit the status profile CRMACTIV (CRM Activity). When you change the user status, a new status code is generated in table TJ30. You can use transaction SE16 to find the status code in the table. In the filter for table contents, enter the value CRMACTIV in the field STSMA.
