In this IMG activity, you can define element types for using the Digital Personnel File (DPF). Element types are subclasses of objects of a service provider (SP) in SAP Records Management. Each SP requires at least one element type. You need the following SPs for the DPF:

  • SP for record models
  • SP for records
  • SP for documents
  • SP for archived documents

For more information about defining element types, see the Implementation Guide (IMG) for SAP Records Management in the documentation for the IMG activity Maintain Registry (Customizing Mode).

In the standard system, the following service providers and element types for using the DPF are predefined:

Service Provider Element Types
- SP for record models (SRM_SP_MODEL) - Model for Digital Personnel File (HR Admin. Services) (ASR_SPS_PERSFILE_MODEL)
- SP for records (HR Admin. Services) (ASR_SP_RECORD) - Records for the Digital Personnel File (DPF) (ASR_SPS_RECORD):
This element type is already entered in the standard system in the IMG activity Define Constants of DPF.
- SP for process documents (HR Admin. Services) (ASR_SP_DPF_DOCUMENT) - Process documents (DPF) (ASR_SPS_PERSFILE_DOCUMENT)
- SP for ArchiveLink documents (HR Admin. Services) (ASR_SP_AL_DOCUMENT) - Certificates (archived documents - DPF) (ASR_SPS_AL_DOCUMENT_CERT)
- General Information (archived documents - DPF) (ASR_SPS_AL_DOCUMENT_GEN)
- Application Documents (archived documents - DPF) (ASR_SPS_AL_DOCUMENT_JOB)
- Legal Documents (archived documents - DPF) (ASR_SPS_AL_DOCUMENT_LEGA)
- Remuneration Documents (archived documents - DPF) (ASR_SPS_AL_DOCUMENT_REMU)
To ensure that archived documents are displayed correctly in the desired location in the DPF, you must use an appropriate element type for each used category of the IMG activity Define Categories of DPF. The category itself must be entered as a value of the connection parameter for the corresponding element type. The element types described above for archived documents correspond to the categories of the sample record model.

When using the sample record model:

  • You can use the predefined element types. You do not need to define other element types.

When using your own record model: If you use your own record model, you must create corresponding element types. You can use the predefined SPs. You do not need to define other SPs. For more information about the exact procedure for defining element types, see the Implementation Guide (IMG) for SAP Records Management in the documentation for the IMG activity Maintain Registry (Customizing Mode).

  • Note also the following:

  • Connection Parameter Values tab page: Depending on the element type that you create, select the following parameter values and parameter IDs:

Element type for archived documents: Parameter ID Category; Parameter value corresponds to one of the categories that you created in the IMG activity Define Categories of DPF
Element type for process documents: Parameter ID DOCUMENT_CLASS; Parameter value ASR_DOC03
Element type for records: Parameter ID DOCUMENT_CLASS; Parameter value ASR_REC01
Element type for record models: Parameter ID DOCUMENT_CLASS; Parameter value SRM_MOD02
  • Classification tab page: Select the parameter value ASR_DPF for the parameter ID RMS_ID. Depending on the element type that you create, select the following parameter values for the parameter ID TYPE:

Element type for process documents or archived documents: Parameter value SRM_DOCUMENT
Element type for records: Parameter value SRM_RECORD
Element type for record models: Parameter value SRM_RECORDMODEL
