Maintain Relevant Absences

You can use this Customizing activity to maintain the absence types for which program Create eAU Requests should generally create eAU requests. For each absence type, you can store the number of days from when a medical certificate must be provided (see Medical Certificate Requirement).

Note that not all absences are relevant for the eAU notification procedure yet for periods of incapacity to work.

The following applies in accordance with version 1.1 of the eAU process description:

• Section 109, Para.1 SGB IV stipulates that as of January 1, 2022, health insurance funds must create a notification for the employer to call up after the work incapacity data has been received in accordance with Sec. 295, Para. 1, Clause 1, No. 1 SGB V.

• According to Sec. 109, Para. 3a SGB IV, the same applies after the expected length and end of the inpatient stays has been received (Sec. 301, Para. 1, Clause 1 SGB V).

• According to Sec. 109, Para. 3b SGB IV, this also applies after work incapacity data due to accidents at work and occupatoinal illnesses has been received (Sec. 201, Para. 2 SGB VII).

This means that illnesses, hospital stays (not a standard SAP absence), and accidents at work are relevant.

Other absences such as stays in rehabiliation institutions (paid by pension insurance), prohibited activities, or periods for sick child are not relevant.

The sample SAP Customizing differentiates between Sickness With Medical Certificate(absence type 0200) und Sickness Without Medical Certificate (0210). This ensures that it is only possible to create a Sickness Without Medical Certificate absence type for a maximum of 3 days in infotype Absences (2001).

Absence type Sickness With Medical Certifiate (0200) is encrypted as being relevant for eAU and Sickness Without Medical Certificate (0210) is encrypted as not relevant as a visit to the doctor is generally only necessary as of the fourth day of the sickness.

This means that a doctor’s visit may be necessary as of the first day of the sickness in the case of Sickness With Medical Certificate (0200). This is also reflected in the sample Customizing.

When you call this Customizing activity, you must first specify a personnel subarea grouping for absence/attendance types in a dialog box.

This grouping is defined in table T554S (field MOABW) and assigned to a personnel subarea using table T001P (see table view V_001P_D). Grouping 01 is used for Germany in the sample SAP Customizing.

If you do not differentiate between absences for which a medical certificate must be provided and those for which no medical certificate is required, you can also just work with one absence type. In this case, if there is a medical certificate requirement, number 4 must be stored if your employees generally have to provide a medical certificate as of the fourth day.
