In this activity, you define how external personnel action types are processed, for example:

  • Hiring
  • Leaving
  • Re-entry
  • Organizational Reassignment
  • Changes to Basic Pay
  • Changes to Master Data
  • Checking Personnel Numbers of Delegated Employees

Setting up external personnel actions involves the following steps:

  • Define external personnel action types
This is a table containing the definitions of the personnel actions supported by SAP. At present, you are not required to make any entries here, although a customer namespace is reserved for future developments.
  • Define processing of external personnel action types
Here you assign internal personnel actions to the previously defined external actions. Part of this is mandatory, part is optional. You do not need to make an assignment if it does not make any sense from a business or a technical point of view.

In the following cases, you MUST assign the corresponding iternal action to the external action type:
The external personnel action "Hiring" must have a hiring action assigned to it. It suffices if the assigned info group includes infotypes 0001 and 0002.
  • The external personnel action type "Leaving" must be assigned a leaving action. The info group belonging to this action does not have to contain any infotypes.

  • The external personnel action type "Re-entry" must be assigned a re-entry action. It suffices if the assigned info group includes infotype 0001.

In the following cases, you CAN assign a corresponding internal action to the external action type:
  • A corresponding personnel action can be assigned to the external personnel action "Organizational Reassignment".

  • A corresponding personnel action can be assigned to the external personnel action "Changes to Basic Pay".

In the following cases, do not assign an internal action to the external action type:
  • Changes to HR master data. (Assigning an action does not make any sense from a business point of view).

  • Checking the personnel numbers of delegated employees. (Do not assign an action, as the external action will not process any data).

In the standard system, the same internal actions are assigned to the same external action types as are used to create dialogs.

The following options are available to control the processing of info groups:

  • Create your own personnel actions with individual info groups.
  • Use the user parameter for user group "UGR" to control the processing of assigned info groups.
For more information on defining info groups, refer to the IMG for Personnel Administration, under Customizing Procedures.
User parameter "UGR" must be maintained for the user that is used to transfer the data from the interface for external HR master data to SAP HR.
  • In the case of automatic transfer, this is the ALE user after IDoc inbound-processing.

  • In the case of manual transfer, this is the administrator's user.

SAP provides settings for user group "CL" for the info groups 10, 01, 82, 86.

Each info group only processes the infotypes which are absolutely necessary. If the data to be processed contains values for other infotypes, they are automatically processed too.

You can store additional infotypes in the info groups, in order to indicate them as "mandatory infotypes".

  • Automatic processing is cancelled with an error, if the data was not (or was not fully) uploaded for one of these infotypes.
  • Such an infotype can be bypassed in manual processing.
