In this step, you set up the connection to an external search engine to be used to facilitate the search for courses in the Employee Self-Service Training Center.

You must carry out the following activities:

  • Set up the TCP/IP connection for the search engine if it does not exist already.
  • Activate the search engine connection.
  • Generate the index for the search engine and specify the language in which the index is to be generated.

You can also refresh the index in this step.

You should repeat the indexing procedure on a regular basis so that it always reflects the most up-to-date course offering.

  1. On the initial screen Administration Search Engine Training and Event Management, choose Goto → Maintain RFC Destination.
  2. On the Display and Maintain RFC Destinations screen, specify the network connection for your search engine under TCP/IP connections. Then return to the initial screen.
  3. Choose Activate Search Engine. The dialog box Create a Search Server Relation appears.
  4. Enter a Search Server Relation ID. (This is a user-definable logical name.)
  5. Check that the name under Search Engine is correct.
  6. Enter the RFC destination that you set up for the search engine (in step 1 or previously.
  7. Choose Continue. You return to the initial screen where the Search Server ID is displayed.
  8. Choose Generate Index.
  9. In the dialog box Language ID, select the languages in which the training offering should be indexed. Choose Continue. The index is generated.
On the initial screen, the generated ID of the index is displayed under Identification. The status of the index is active (green light).
In addition, under Indexing for ..., the system displays the plan version and course period (data selection period) for which the index can be refreshed.
  1. Choose Refresh index to index and publish the course offering. You have now completed the required settings.
Note:
Once you have generated the index, you should immediately refresh it. When you do so, you may change the time period if you wish.
The function Refresh index lets you regularly update the index to reflect the current course offering available.

If the status display is not green, it may be for one of the following reasons:

Status is yellow:

  1. The index was deleted and no longer exists on the search engine. You can verify this under Edit → Check Index. In this case, you should delete the index and generate it again.
  2. The search engine connection was deleted. You can verify this under Edit → Check Search Engine. In this case, you should delete the connection and set it up again from the beginning.

Status is red:

  1. The search engine is not active ("Server not active"). In this case, you should repeat the activities from step 3.
  2. The index has not been created ("Index not active"). In this case, repeat step 10.
