In this IMG activity, you can display forms, create new ones, and copy or change existing ones.

In this process, you make settings for the following:

  • Header data (for example, author, short text)
  • Pages
  • Windows (for example, address window)
  • Page windows (for example, size of the address window)
  • Paragraph formats
  • Character formats (layout of text blocks)
  • Documentation

You can either copy standard forms or create your own forms.

The original language of the standard forms in Training Management is German.

You must make structural changes (such as changes to the position of windows, paragraph format and so on) in the original language. You make contextual changes in the language of the document concerned.

The forms delivered by SAP up to now have generally been suited to the requirements of classroom training, so that they may need to be adjusted to suit other delivery methods. You can use the form LSO_PARTIC as a template for this purpose. Please read SAP note 702326 in this context.

You should not change the sample forms that come with the standard SAP R/3 System.

Copy Standard Forms

  1. Choose Utilities -> Copy from Client. Copy the standard form to your local client and save it under another name in the customer name range.

The advantage of this method is that it saves you the trouble of defining the form structure yourself (layout, paragraphs, character strings and so on).
  1. Modify the form to suit your company-specific requirements. At a minimum, this will mean changing the header (HEADER window), the footer (FOOTER window), the sender in the window (ADDRESS window) and some passages of text or formulations in the text elements of the main window (MAIN).
  2. When you have made all the required changes, activate the form so that you can use it in the application.

If you want to use the language-dependent output option, you must copy the form with all existing languages.
The form must exist in its original language German. The language-dependent versions of the form must be translated as required.
You must ensure the consistency of the text variables as far as text elements and language-dependent versions of the forms are concerned. In other words, text variables that are used in one text element must exist at least once in each of the language versions.
  1. Set up user-specific output control.
Assign the modified form to the relevant notification abbreviations.

User-Defined Forms

In addition to the simplified method of copying forms and editing them, you can create your own forms from scratch.

To do so, you must do the following:

  1. Create your own form layout
  2. Define your own paragraph formats
  3. Define your own character formats
  4. Define your own text elements
  5. Specify the output sequence of user-defined text elements
This action is required, for example, if data is to be output in tabular form, which means that you may need to define multiple text elements in one window of a form (e.g. in the MAIN window of the standard form HR_ALL_FIX).

If you use the automatic Correspondence function, please note that only certain notification abbreviations are available for the activities in Training Management.
