In this configuration activity, you can select or deselect various attributes for purchase requisitions, which influence the restart of approval workflow. The system triggers a restart of the approval process when the values of these attributes gets updated in the purchase requisitions.

You can use this configuration activity to override the default conditions that restart the approval workflow in the purchase requisitions. This activity is applicable for Self-Service Procurement (purchase requisitions created using the app Create Purchase Requisitionor managed using the app My Purchase Requisitions) and Professional Procurement(purchase requisitions created using the apps Create Purchase Requisition - Advanced or Manage Purchase Requisitions - Professional).

You can see the following information for all the attributes:

  • Sequence Key: This is a unique identifier assigned to each attribute.
  • Purchase Requisition Attributes: This displays the name of the purchase requisition attribute.

You can make the following settings for all the attributes:

  • Self-Service Procurement: The attributes for which this setting is enabled and selected, indicates that any change in the values of these attributes will trigger a restart of the approval workflow in the self-service purchase requisition documents. The attributes for which this setting is enabled and not selected, indicates that any change in the values of these attributes will not trigger a restart of the approval workflow in the self-service purchase requisition documents. By default, the attributes relevant for Self-Service Procurement are selected and editable. The attributes that are not editable indicate that they are not applicable for Self-Service Procurement.
  • Professional Procurement: The attributes for which this setting is enabled and selected indicates that any change in the values of these attributes will trigger a restart of the approval workflow in the professional purchase requisition documents. The attributes for which this setting is enabled and not selected indicates that any change in the values of these attributes will not trigger a restart of the approval workflow in the professional purchase requisition documents. By default, the attributes relevant for Professional Procurement are selected and editable. The attributes that are not editable indicate that they are not applicable for Professional Procurement.

Example:

Suppose you do not want to trigger restart of workflow for situations like assignment of source of supply to a purchase requisition. In this case, other attributes like purchasing organization, purchasing info record number, principal purchase agreement number, and principal purchase agreement item number might get changed. Uncheck all the related attributes to prevent restart of workflow in this case.

Restart on Change of Delivery Address:

In order to trigger a workflow restart on change of delivery address, consider the following:

  • In case you select the Delivery Address attribute for Self-Service Procurement, the following is applicable:
  • If you open the self-service purchase requisition in the "My Purchase Requisitions" app, any change in these fields will trigger a workflow restart: Street, House number, Postal Code, City, Country/Region Key, Region, Title, Full name, Telephone, Fax and Email Address.

  • If you open the self-service purchase requisition in the "Manage Purchase Requisitions - Professional" app, any change in the following fields will trigger a workflow restart: Title, Name, Street, House Number, Postal Code, City, Country/Region Key and Region.

  • If you have activated Central Requisitioning, and Address Type is 'Plant' in "My Purchase Requisitions" app, you must select the attribute ‘Plant for External System’ (EXTWERKS) to trigger a workflow restart on change of delivery address.
  • In case you select the Delivery Address attribute for Professional Procurement, the following is applicable:
  • If you open a purchase requisition that was created using the "Manage Purchase Requisitions – Professional" app or "Create Purchase Requisition - Advanced" app, any change in the following fields will trigger a workflow restart: Street, House number, Postal Code, City, Country/Region Key and Region.

Notes:

  • It is important to uncheck all the related attributes to prevent the restart of approval workflow in some cases.
  • Additionally, you can use the business add-in BADI MM_PUR_S4_PR_WFL_RESTART (Define Conditions to Restart Flexible Workflow) to further control the restart approval workflow based on the attribute values. See the documentation for the BAdI and the implementation example (available in the app Custom Fields and Logic).
