If you use integration with an external procurement system, define how responses to change requests received from this system are automatically processed.

You can specify whether change requests are automatically applied or discarded if suppliers accept or reject them.

You can also specify whether proposals from suppliers are automatically applied or discarded based on the following criteria:

  • Deviation from the requested delivery date in days
  • Deviation from the requested quantity in percent

You have set up integration with an external procurement system.

Specify the following as required:

  • Plant for which you want to set up automatic processing of change requests
  • Automatic actions that you want to perform for change requests that are accepted or rejected by the supplier (apply or discard change requests)
  • Automatic actions that you want to perform for proposals from suppliers, based on deviations from the requested delivery date and quantity (apply or discard proposals)
  • Delivery date and quantity intervals that are used to determine whether an automatic action is performed:
  • To automatically apply change requests, you specify a date and quantity interval. If all delivery dates are within the specified time interval and the sum of quantities is within the specified quantity interval, change requests are applied.

  • To automatically discard change requests, you specify a date and quantity interval. If at least one delivery date is outside of the specified interval or the sum of quantities is outside of the specified interval, change requests are discarded.

To make sure the system can uniquely determine whether change requests must be applied or discarded, the date and quantity intervals must meet the following prerequisites:
  • For date intervals, the start and end values of the interval that is used to automatically apply change requests must be less than or equal to the start and end values of the interval that is used to automatically discard change requests.

  • For quantity intervals, the start value of the interval that is used to automatically apply change requests must be greater than or equal to the start value of the interval that is used to automatically discard change requests. The end value of this interval must be less than or equal to the end value of the interval that is used to automatically discard change requests.

You want to define the following behavior for the automatic processing of plant 001:

  • Automatically apply all change requests that have been accepted by the supplier
  • Automatically discard all change requests that have been rejected by the supplier
  • Automatically apply proposals from suppliers if all of the following conditions are met:
  • All proposed delivery dates are within a time interval of 3 days before and 3 days after the requested delivery date

  • The sum of proposed quantities is between 90% and 110% of the requested quantity

  • Automatically discard proposals from suppliers if one of the following conditions apply:
  • At least one proposed delivery date is more than 5 days before or more than 5 days after the requested delivery date

  • The sum of proposed quantities is less than 70% or more than 130% of the requested quantity

To define this behavior, you make the following settings:

  • Plant 001
  • ApplyAcc (Automatically Apply Accepted Change Requests): X
  • DiscardRej (Automatically Discard Rejected Change Requests): X
  • ApplyPrps (Automatically Apply New Proposals): X
  • DaysBefore (Days Before Requested Date): 3

  • DaysAfter (Days After Requested Date): 3

  • FromRQ(%) (From Requested Quantity (%)): 90

  • ToRQ(%) (To Requested Quantity (%)): 110

  • DscrdPrps (Automatically Discard New Proposals): X
  • DaysBefore (Days Before Requested Date): 5

  • DaysAfter (Days After Requested Date): 5

  • FromRQ(%) (From Requested Quantity (%)): 70

  • ToRQ(%) (To Requested Quantity (%)): 130
