In this IMG step, you assign the various institutions to the relevant institution groups you have defined in the activity Maintain Institution Groups. Institutions are governmental and non-governmental bodies to which you are legally obliged to transfer data as an employer.

You define institutions only once. If you want them to be available in several languages, you should login in the desired language and change the description accordingly.

Note

If you want to use the institution name in a language other than the default one (in reports for example), you need to define it manually in the desired language.

Make sure you have maintained the following activities:

The SAP standard version is shipped with an empty table.

  1. Enter the relevant HCM Localization (12).
  2. Click New entries.
  3. Select the relevant institution group.
  4. Enter a 4-character code to uniquely identify the institution.
  5. Enter a description.
  6. Delimit the record.
  7. Specify the official and/or correspondence language of the institution (for example, select Dutch for the VDAB and French for the FOREM).
  8. Save your entries.
  9. Repeat the previously mentioned steps for any further entries.

To define Belgian job offices, you could have the following entries:

  • Rijksdienst voor Arbeidsvoorziening / Office national de l'emploi (RVA / ONEM) at the federal level.
  • Vlaamse Dienst voor Arbeidsbemiddeling en Beroepsopleiding (VDAB) for Flanders.
  • Office régional bruxellois de l'emploi / Brusselse Gewestelijke Dienst voor Arbeidsbemiddeling (ORBEM / BGDA) for Brussels.
  • Office communautaire et régional de la formation professionnelle et de l'emploi (FOREM) for Wallony.
