This activity enables you to determine employees' potential annual holiday entitlement using absence quotas. An employee's potential holiday entitlement is required for calculations in specific application contexts, such as gross/net hourly wages and reduced working hours.

To ensure that you can determine quotas that are relevant to these application contexts, you enter a quota type selection rule group in the Time Quotas for Hourly Wage/Reduced Working Hours CH view that is dependent on the application context and time management modifiers.

Calculation

Holiday entitlement is calculated on an annual basis using the quotas that have been determined. Master data changes to infotypes that influence the calculation of quota entitlement and that are in the reporting future but within the annual reporting period are also taken into account.
Make note of the following exception:If you have stored different rules according to the organizational assignment or the employee subgroup (for example, one rule for hourly wage earners and no rule for all other employees), in the event of retroactive accounting for the reasons given above, the quota entitlement in the retroactive accounting period is calculated differently to in the original period when organizational changes and different or non-existent rules arise from these circumstances. This is because the potential annual leave entitlement has changed in the retroactive accounting period.
Should you want to miss this, you must store the same rules for all differentiation criteria.

The system calculates the employee's potential annual entitlement rather than his or her actual entitlement (annual entitlement minus used days of holiday and compensation plus unused days of holiday from previous years).This means that the quota data of infotypes 2006 and ff. are not taken into account when calculating entitlement.

When generating quotas for time management, the quota is automatically reduced to the employee's active days when he or she leaves or starts work mid-year. Since this reduction is undesired when determining the potential entitlement, the master data of the new or old employee becomes temporary. This means the period is extended to a year so that the entitlement can be calculated in full.

You can check the amount of entitlement using the following reports if you start them during the annual reporting period. Notice that the quota entitlement is automatically reduced for new or old employees, in contrast to this function (see above).

In the case of application contexts - such as net hourly wage and reduced working hours - that require/calculate annual entitlements each month, note that a different amount of entitlement can arise in a monthly payroll even during a calendar year if the employee is assigned different modifiers, such as the personnel subarea for attendance/absence quotas, because of an organizational reassignment and if different quota entitlements are calculated using these modifiers.

However, if a change of age or seniority changes an employee's entitlement during the reporting year compared to the previous year, you can use the appropriate absence quota to determine that this entitlement is taken into account as of the start or end of the year, for example. In this case, the same entitlement would be taken into account for the employee in the payroll run for each month.

To calculate leave entitlement using absence quotas, you must process this activity and make entries in the view. If you do not make any entries, leave entitlement continues to be calculated using features LVTYP/LVNUM/VAC02.

  1. Execute the activity.
    This takes you to the view Time Quotas for Hourly Wage/Reduced Working Hours CH.
  2. Choose New Entries.
  3. Use the input help function to select the required application context. Depending on the application context (gross/net hourly wage, reduced working hours) and time management modifiers Employee Grouping for Attendance/Absence Quotas, Personnel Subarea Grouping for Attendance/Absence Quotasand Personnel Subarea Grouping for Time Recording, create a quota type selection rule group.
  4. Save.

You want to create a holiday quota for the application context gross hourly wage, and you want to be able to use it to generate infotype 2006 Absence Quotas. You want to use an absence quota for the application context reduced working hours that is not taken into account when infotype 2006 is generated:

  1. For the application context STDK (gross/net hourly wage), create the quota type selection rule group that you also created in feature QUOMO for your employees.
  2. For the application context KUAK (reduced working hours), create a quota type selection rule group that is not used in feature QUOMO.
    This enables you to calculate entitlements in different ways. For example:
  • For hourly wages: with reductions if an employee enters the company during the year

  • For reduced working hours: without entitlement reductions if an employee enters the company during the year
