There are two types of overnight accommodation:

a) provided by the employer (hostel, prefabricated huts)
b) Hotel/ guest house

a) Accommodation provided by the employer:

If employees make use of accommodation provided by the employer, the expenses for this accommodation must be paid to the employer.
These expenses are therefore a net deduction for the employee. They can therefore be added tax free to a separation allowance that has been paid.

If the accommodation provided by the employer is construction site accommodation, by which is meant a building not fixed to the ground, input tax cannot be deducted from the costs retained.

Example

Separation allowance paid: 70 DM
Tax-free meals: 46 DM
Cost of accommodation: 15 DM

The following can be derived from these amounts:
Net deduction 15 DM
Tax-exempt amount: 61 DM
Taxable amount: 9 DM

b) Hotel/guest house:

If an employee spends the night in a hotel, guest house or elsewhere,

  1. individual expenses
  2. statutory lump sums for tax
can be added to the separation allowance paid.

Separation allowance paid: 70 DM
Tax-free meals: 20 DM
Guest house charges: 30 DM

The following is derived:
Tax-exempt amount: 50 DM
Taxable amount: 20 DM

You should already have set up your wage type catalog.

The above examples are represented by sample entries in the standard system.

  1. Define allowed accommodation types:
You must determine how many different accommodation types are used in your company.
  1. Describe accommodation:
    1. You must define the wage type to be used for the accommodation retention amount in Payroll:
This wage type is stored in the results table. It contains the net deduction for the employee.
  1. You must specify the accommodation retention amount.
  2. Your entry in the Hotel/guest house field determines whether you want to proceed as in the first or second example.
This data may change from one year to the next.

An accommodation retention amount specified individually in the Construction Pay: Expenses infotype overrides the default in the table.
