In this IMG activity, you define the applicable periods for the pay scales and function models you use. In addition to the dependency on the pay scale of the respective employee, the system also determines a period that depends on the following parameters:

  • Function model
All of the specifications for period calculation are summarized in a function model. You can use the function model 01 (rule calculation in accordance with pay scale) that is provided in the standard system. However, if you have to perform different period calculations in accordance with the organizational assignment within the same pay scale, you require different function models. In this case, you create the additionally required function models in this process step (as described below) and then assign the function models in the next process step.
  • Period type
The period type is used to distinguish between the different pay scale periods. The following pay scale periods are provided in the standard system.
  • Period of continued pay

  • Sick pay supplement period

  • Probationary period

  • Period of notice for employer

  • Period of notice for employee

The detail view for the respective periods depends on the period type: The system only displays the field Special Rule for the period of continued pay and the sick pay supplement period.
The differentiation in accordance with the special rule is only relevant for the periods of continued pay and the sick pay supplement periods of the BAT (West) pay scale. The following rule applies to the BAT (West) pay scale.
  • The special rule 00 includes the periods set out in section 71 of the BAT (previous rule, applicable up to June 6, 1994).

  • The special rule 01 includes the periods set out in section 37 of the BAT (new rule, applicable as of July 1, 1994).

The periods of all other pay scales, including BAT (East), are assigned to the special rule 00. The special rule 01 is only used in the pay scale BAT (West).
Your HR administrator defines the key indicators of the special rule separately for each public sector employee in the infotype Contract elements (0016). In pay scale BAT (West), the system uses the special rule to control the different periods of Sec. 37 and 71 BAT (West). In contrast to Sec. 37 BAT, Sec. 71 BAT does not contain any sick pay supplement periods. However, BAT section 71 is scaled in accordance with the employment period.
  • Duration of employment period or length of service
If a period depends on the duration of the employment period or length of service, you enter the minimum and maximum duration as years/months (YY/MM). For example, in the case of a minimum employment period of one year and a maximum of 3 years, you would enter a duration of 0100 and a duration up to 0211 respectively.
Your HR administrator defines the beginning of the employment period or length of service of an employee in the infotype Date specifications (0041) by using date types set up for this purpose. The system determines the duration of an employment period or length of service as a difference between the key date in the infotype Contract elements and the beginning or end of the absence and the respective date type in the infotype Date specifications. For more information, see the IMG process step Define Date Types for Employment Period and Length of Service. Absence type
Absence type The following absence types must be coded by attendance or absence type for payroll since they have to be handled separately for the calculation of periods of continued pay and sick pay supplement periods:
  • Industrial accident, accident on the way to/from work, occupational illness: Type 2

  • Illness after sterilization or termination of pregnancy: Type 3

  • Preventative medical measures or rehabilitation (health cure): Type 9

For more information, see the IMG process step Code Absence Types for Period Calculation. Public sector:

Public Sector:

The following periods are relevant for the sick pay supplement in accordance with BAT section 37, paragraph 4:

  • For a period of employment of more than one year, the sick pay supplement is paid no further than the end of the 13th week since the beginning of the incapacity to work.
  • For a period of employment of more than three years, the sick pay supplement is paid no further than the end of the 26th week since the beginning of the incapacity to work.
  • However, in the case of an industrial accident, the sick pay supplement is paid up to the end of the 26th week since the beginning of the incapacity to work, regardless of the period of employment (in accordance with BAT section 37, paragraph 6).

In the standard system, these periods are defined as follows for BAT (West): Period ty.

Period type S.rule Dev. Cat. Duration From Duration To Deadline
Sick pay 1   0011
Sick pay 1   0100 0211 91 days
Sick pay 1   0300 9911 182 days
Sick pay 1 2   9911 182 days

For the pay scales provided in the standard system, all periods are summarized and predefined in the function model 01.

9911
  • If you want to use the pay scales provided in the standard system, check the predefined periods.
  • If you use different pay scales, define the periods of your pay scales.
  • If you have to perform different period calculations in accordance with the organizational assignment within the same pay scale, you have to create the additionally required function models.
9911
  1. Determine your work area:
    1. Enter HCM localization 01 for Germany.
    2. Enter the relevant pay scale type and pay scale area.
The periods must be maintained in combination with the pay scale area for each pay scale type you use.
If you use the function model provided in the standard system, enter 01 as the function model.
  1. If you use your own function model, enter the key indicator of your function model instead.
  2. To create a new function model, enter a free key indicator and create desired periods for this function model. You then assign the function model to the relevant employee subgroup in the process step Maintain Function Models.
  • Check the periods provided in the standard system. Double-click the relevant table entries in the detail view and check the settings there.
  • Save your changes.
