In this IMG activity, you define time limits in accordance with the legally specified absence durations that you can assign to absence types in order to classify them as non-eligible after a defined number of calendar days .

The standard system settings are customized to process the following absences:

  • Absences that are always eligible and therefore require no limit code.
  • Absences that are always non-eligible.
  • Absences for which eligibility depends on the absence duration and therefore require a limit code
Absence days that do not exceed the defined number of calendar days are eligible and absence days that exceed the defined number of calendar days are non-eligible.
Note
An absence limit entry for long sicknesses (with limit type long sickness limit, limit code SI) is included in this Customizing activity for technical reasons. The calendar day limit specified in this entry does not determine when the absence becomes non-eligible; this is determined during absence quota accrual as follows:
  • The absence becomes non eligible after a full year of sickness passes after the year in which the employee has taken sick leave. For example, if the employee takes sick leave on December 31, 2014 and he is on sick leave for the whole of 2015, his absence becomes non-eligible on January 1, 2016.

  • If the employee starts to work again and continues to work for at least 14 workdays, the counting of the long sickness period is restarted (the limit counter is set to zero).

You define which limits apply to which absence types in the IMG activity Assign Eligibility Limits to Absence Types.

In most cases, you define absence limits for absence types that are relevant for payroll in general. Therefore, the general purpose of a limit code is to be able to limit the eligibility of absence days .

  1. Determine which absence types are eligible only for a certain duration and check whether an entry already exists for the absence limit.
  2. If an entry already exists, check that the number of calendar days and the period for which the limit is valid correspond with the legally defined absence duration.
  3. If you need to limit the eligibility of an absence type for which there is not corresponding entry, create a new entry by doing the following:
    1. Define the purpose of the limit.
    2. Define the type of limit and enter a two-character code to identify the limit.
    3. Define the period for which the limit applies.
    4. Define the number of calendar days after which an absence is then classified as non-eligible.
  4. Save your changes.
