In this Customizing activity, you can find an overview of the steps you perform to activate and configure Vacation Reserves for Ukraine.
According to a business practice in Ukraine, companies can prepare to make upfront payments to employees, and create reserve accounts for saving a certain amount of money, for example, for further vacation payment. This enables the accounting department to always have a sufficient amount in order to make those payments.
In the following Customizing activities, you define the different rules for processing the obligation on reserves in payroll. You can specify which basis to use to calculate reserves.
- Activate Reserves Calculation - You activate the UARES option that enables the additional features for vacation reserves processing:
- Specify Modifiers for Reserves - You specify modifiers which represent a relationship between an employee group and the method of reserves calculation.
- Specify Employee Groups for Reserves - You specify for the employee groups that are relevant for reserves processing.
- Create Wage Type Catalog - You create your own reserve wage types as a copy of model wage types, if needed.
- Specify Parameters for Vacation Reserves - You describe rules for the vacation reserves calculation assigned to the reserve wage type.
Enter the copied wage type for vacation reserves. Link this wage type with the absence quota type that you want to calculate using the cumulated reserves and with employee group. Specify the period in which reserves are calculated.
Specify other parameters related to the algorithm for calculating reserves:
- Whether or not to use effective rate method for the calculation of the ESV contribution part of obligation.
- Specify the method for calculating earned days in the field Class for reserves processing.
- Select rounding rule for rounding quota entitlements, or maintain your own rule for rounding quota entitlements (see Customizing activity Define Rules for Rounding Quota Entitlements).
- Specify Wage Types for Reserves Processing - You create entries for your base wage types:
- Related to vacation (IT 2001)
- Related to time quota compensations (IT 0416)
- ESV contribution wage types
-
To calculate the ESV contribution part of reserves, specify the corresponding cumulations for base reserve wage types. In the case of vacation charges, check 58 cumulation which is included in /158 ESV base.
-
For each base wage, to prepare the FI posting, you specify wage types for amounts:
- For accrual to reserve account (MRVA, J4T0)
- Amounts deduced from reserve account (P410…)
- Advance payments from future expenses account (F410…)
- Returning to future expenses account (QRVA)
- Correction the current HR reserve balance (MRVC) according to FI reserve balance
- To complete the settings, maintain these wage types for posting accounting.
- Assign Wage Type for Reserves Taxes via Effective Rate - You create relationships between the wage types that store the tax base for the standard social contributions (ESV) calculation and the ESV tax base wage types for taxes included in reserves via the effective rate.
- Assign the Valuation of Averages to a Primary Wage Type - Specify average rule VACR to determine the rate for your vacation reserve wage types on the last day of each processing period.
- Taxes and Social Insurance Payments - You create new and maintain the settings for your tax classes. To calculate ESV contribution based on effective rate use as example standard tax class ER.
- Assign Tax Classes to Tax Schema - You assign the tax class to your employee tax schemas.
