In this Customizing activity, you check the calculation rules that the system uses when it calculates an employee's average pay to determine the amount of absence pay that an employee receives.

In line with Ukrainian legislation, the system must include any bonuses that an employee receives in the average pay calculation. In some cases, the bonuses are in proportion to the amount of time that an employee actually works in the period to which the bonus applies, for example, one year, month, or quarter.

The rules that you specify in this Customizing activity calculate the following:

  • An employee’s planned and actual working time in terms of hours and days.
    The system uses the bonus amount per year and quarter together with the relationship between the planned and actual working time to calculate the bonus in relation to the actual working time.
  • The amount of an employee’s bonus per year, per quarter, or per month.
  • The adjusted amount of an employee’s bonus that the system must process when it calculates an employee’s absence pay.
    To calculate an employee’s absence pay, for example, for an employee’s vacation, the system uses the actual amounts that an employee earns in the evaluation period for calculating absence pay. In the case of bonus payments, the system works out an employee’s bonus in relation to the amount of time that an employee actually works.

You have made the following settings in Customizing for Payroll Ukraine under Time Wage Type Valuation -> Valuation of Absences -> New Averages -> Create Calculation Rules for Averages -> Cumulation Rules for Bases for Calculating Average Values:

  • Assigned the wage types that store the amounts for average calculations to a cumulation rule
  • Assigned the cumulation rule from the previous step to a calculation rule for averages

For example, you have included the wage types that the system uses to calculate an employee's vacation pay in the average calculation rule for vacation pay.

The standard system contains wage types for the annual bonus (/V01), annual bonus adjusted in days (/V02), and the annual bonus adjusted in hours (/V03), which are included in the cumulation rule for calculating averages.

Check the following settings:

  • In the Create Calculation Rules for Averages activity of the Create Calculation Rules for Averages Customizing activity, check your settings for the VDB1, VDB2, and VDB3 average calculation rules. If the Current checkbox is selected, the annual bonus is included in the average if the annual bonus and vacation (or wages valuated using the average for the last 2 months) start in the same month.
For the average calculation rules VD10 and VD11, if the Current checkbox is selected, the quarter bonus is included in the average if the quarter bonus and event valuated using the average for the last 2 months start in the same month for a working period of less than 2 months.
  • Check that the VDB1, VDB2, and VDB3 average calculation rules are assigned to the REYB relevance rule using the HR_UA_AV_REL_BONUS_1_12 function module. Check that the VD10 and VD11 average calculation rules are assigned to the REQB relevance rule using the HR_UA_AV_REL_BONUS_1_3 function module.

If you use customer-specific intermediate wage types and different average calculation rules that require the adjustment of bonus wage types, proceed as follows:

  1. Create new records for the average calculation rules as required.
  2. Create new personnel calculation rules for the customer-specific intermediate wage types and specify the rules in the PersCalcRule (Personnel Calculation Rule for Processing Averages) field.

Assume that an employee receives an annual bonus of UAH 5,000. During the last 2 months in which the employee receives the bonus, the employee was absent for a part of the time while her or she performed state duties.

In line with Ukrainian legislation, when the system calculates the employee's total average pay, which is evaluated by averages for 2 months, the system must calculate the employee's bonus in relation to the 2 months that the employee actually works.

To calculate the amount of the UAH 5,000 bonus that corresponds to 2 months' work, the system uses calculation rules to determine the proportion of the planned working time that an employee actually works.

In this Customizing activity, the Average 2 Months (h)(R2MH) average rule comprises the following calculation rules for adjustments to additional wage types:

To calculate the adjustment required to determine the employee's annual bonus in relation to the actual working time (2 months) in the evaluation period (2 months), the system uses the Adjusting Bonuses in Function UAAVE in Hours (/V08 : /V09) (UAWC) personnel calculation rule.
