This report changes the user's benefits data from the operative currency to another. The report converts all the amount and currency fields in Customizing.

  • Before converting the benefit area, you can perform a test conversion in a copy of your benefit area. If you are satisfied with the results, you can perform the conversion for your original benefit area. The benefits areas can be copied in the activity Copy Benefit Area.
  • You can check if the system uses the exchange rate in the Implementation Guide (IMG), in the step General Options -> Currencies -> Enter Exchange Rate.
  • Once the conversion is completed, check the rounding rules that have been defined in the cost, contribution and credit rules for the benefit plans. Ensure that the rounding divisor specified in these rules is suitable for the new currency.
  1. Enter the benefit area for which you wish to change the currency.
  2. Enter the date on which the change must occur.
This is the day on which the new currency will be valid.
  1. Enter the new currency.
  2. Select Execute.

The system shows a list of date-dependent views for which a conversion will be performed.

Note: The program does not give the option Execute a test because the option to convert or not convert is provided later.
  1. Check that the entries to be converted are correct.
  2. Select Convert to start the conversion or Cancel conversion if you wish to stop.
Note that the conversion is executed in display mode until the last step of the procedure. You may select Cancel Conversion at any time to cancel the process.

The system shows a list of time-independent entry views. Next, you must decide if these have to be converted or not. Take into account that the entries in these views are always valid and that a history of the previous entries will not be maintained. The system will overwrite the old entries with the new and already converted ones.

  1. Select one of the following options:
  • Convert also to convert the time-dependent and time-independent entries.

  • Do not Convert to convert ONLY the time-dependent entries.

  • Cancel Conversion to stop the conversion (NO entry will be converted).

If you select Convert also or Do not Convert the system shows a list of errors that may be generated during the conversion. Not all these errors are serious. In this list, the new and old amounts are displayed for each field as they will be saved and the user must decide whether or not to continue.
This step of the conversion is still in display mode and the user can select Cancel to stop the conversion.
  1. Select Save Conversion if the user is sure of wishing to convert the entries.
The system converts the entries in the database.

The entries in Customizing that are converted by the system originate in the following views:

  • Benefit area currency (V_T5UD3)
The old currency is limited and a record of the new currency is created.
  • Selection of standard savings (V_T74FM)
  • Selection of standard savings accounts (V_T74FN)
  • Selection of standard miscellaneous (V_T74FP)
  • Selection of the standard stock acquisition (V_T74FO)
  • Combined coverage limits (V_T74FU)
  • Combined contribution limits (V_T74FW)
The six views mentioned above are not time-dependent and therefore, the currencies and the amounts are overwritten.
  • Parameter groups (V_T5UBY)
  • Salary groups (V_T5UBK)
  • The currency is stored in the parameter group views and the amount in the salary group views.
  • Savings account (V_T5UBG)
  • Cost rules for health plans (V_5UBI_A)
  • Cost rules for insurance plans (V_5UBI_B)
  • Cost rules for miscellaneous plans (V_5UBI_E)
  • Coverage rule for insurance plans (V_74FC_B)
  • Coverage rule for miscellaneous plans (V_74FC_E)
  • Savings plan (V_T74FD)
  • Employer contribution rule for savings plans (V_74FF_C)
  • Employer contribution rule for savings account (V_74FF_D)

These twenty views are time-dependent. The amounts are converted and the currency is read from the view Benefit Area Currency.
