The data privacy functionality defines a retention time for the information. It means that some of the data that is stored in the system has an expiration date, and when this time is reached this information can be destroyed. This is called data retention and destruction.

In the system, the retention date is calculated by a method, based on a reference date.

The Customizing activities in this section enable you to make settings for the following:

  • Retention method
  • Reference date

To define whether you need to make these settings, refer to the sections below.

Retention Method

In the system, retention methods are the methods used to calculate the retention dates, that is, the dates up to which the information must be retained. In some countries the retention time is defined for the whole country/region by federal laws. In the scenarios described below, you may need to execute the subsequent activities and make customer-specific settings:

  • In your country/region, each state or other legal authority has the autonomy to define its own retention date. This happens in the United States, for example.
  • The country/region or state where the employee works is different from the country/region or state where he or she resides, and the retention dates are different.

Reference Date

In the system, the retention methods read the reference dates to calculate the retention date. An example of a reference date defined in the standard system is 'Federal Audit Date'.

If you want to use reference dates different from the ones delivered in the standard system, execute the subsequent Customizing activities.
