In this Customizing activity, you can find information about how you specify the end of purpose (EoP) for personal data in SAP QIM. Personal data can be assigned partners in the QIM system that are stored in the system as SAP business partners. Personal data can also be customers and vendors in connected ERP systems that you have assigned as reference objects. In the second case, the check is started in the ERP system. Here, a check is also made in SAP QIM for the respective customers and vendors whether the end of purpose has been reached according to the ILM rules stored in SAP QIM.

In Customizing, you have activated the following business functions under Activate Business Functions:

  • ILM
  • BUPA_ILM_BF (see also SAP Note 1825608)
If the business function BUPA_ILM_BF is not available in your system, create a business function in your customer namespace and assign it the switch BUPA_ILM_SWITCH.

To start the end of purpose check in a connected SAP ERP system, you must be using at least SAP ERP 6.0 enhancement package 7 SPS05. You will find the necessary Customizing settings under Cross-Application Components -> Data Protection.

To specify the end of purpose in SAP QIM, proceed as follows:

  1. Under Define and Store Application Rule Variants for EoP Check, create application rule variants for the following application names:
  • IAM for business partners that are assigned to an issue or activity as partners in the QIM system

  • IAM_CUS for customers that are assigned as a reference object in the QIM system

  • IAM_VEN for vendors that are assigned as a reference object in the QIM system

Naming convention for application rule variants:
<IAM application>-<object (three characters)>-<QIM authorization group (optional)>
Examples of application rule variants:
  • QIM-ISS valid for issues in SAP QIM, across all authorization groups

  • QIM-ACT-0001 valid for activities in SAP QIM, authorization group 0001

  1. Under Define Application Function Modules Registered for EoP Check, register the function module /IAM/EOP_CHECK_BP for the application IAM. Since the end of purpose check must be triggered in the ERP system by customers and partners, you do not need to register function modules for the respective applications IAM_CUS and IAM_VEN.
  2. In the transaction IRMPOL, define an ILM policy for the following selection criteria:
  • Policy category: Retention rules

  • Object category: SAP Business Suite

  • Audit area: BUPA_DP

  • ILM object: CA_BUPA

In this policy, use the application rule variants you defined in the first step.
  1. You can run a simulation and test the ILM object settings and ILM policies using the transaction ILMSIM.
