In this Customizing activity, you can import data from a Microsoft Excel workbook or an XML file to create, update, or delete multiple portfolio items simultaneously.

The Microsoft Excel workbook that you can import contains the following sheets with fields that match the item fields:

  • Item
  • Item Authorization
  • Decision Point
  • Decision Point Authorization

Fields that are derived in the Item Details screen are not included in the import.

The imported data overrides any predefined data supplied in an item template.

You have defined the fields for the import workbook in the Customizing activity Configure Fields for Mass Import.

You can download the Microsoft Excel workbook as a template that includes all the fields available. To start this activity, you select the file type and then choose Display DX Layout.

You can populate the workbook with information for one of the following operations: create new items, update existing items, or delete existing items. To perform different operations, you must create and import separate workbooks.

  • Create
When you import the workbook, new items, decision points, and authorizations are created. If an error occurs during the mass import, only those objects for which errors occurred are not imported.
  • Update
When you import the workbook, the available item data is updated. You can choose to do one of the following:
  • Overwrite authorizations

  • Overwrite decision points

  • Overwrite decision point authorizations

  • Delete
When you import the workbook, the items listed in it are deleted from the system, along with the corresponding data for decision points and authorizations.
  • Deletions are made at item level only: item authorizations, decision points, or decision point authorizations are not deleted independently of the items.

For each of the operations above, you can choose Test Run so that the import runs and messages are generated, but the data is not saved to the item. If no errors occur, you can then run the import.

After each import, the system records all successes and errors in the application log.
