In this section, you determine:

  • Create the distribution keys (consumption-dependent/independent) according to which the service charges are apportioned to the tenants.

  • Assign the consumption-dependent apportionment units to characteristics of the meters.

  • Assign the area type to the apportionment unit
  • Specify which apportionment units is to be derived from which area types of the rental unit.

  • If you assign an apportionment unit to an area, the value of the apportionment unit is derived from the area value when the area is maintained. If the same apportionment unit is assigned to several areas, the area values are summed up to the value of the apportionment unit.
    Example
    In the rental unit, 100 sq.m. is specified as "Shop floor space", and 25 sq.m. as "Office space". The apportionment unit "Living area/usable space" was assigned to both area types. In the rental unit, the apportionment factor "Living area/usable space" is determined as having 125 sq.m.

  • Assign condition types to apportionment units
  • You can use a condition as a scale for the apportionment of service charges, that is, you can divide certain service charges up according to the amount of basic rent paid by the individual tenants. The apportionment units used for this purpose have to be assigned to that condition type, whose amount determines the apportionment.

For assigning area types to the apportionment unit

Area types and apportionment units must have been created.

For assigning condition types to the apportionment unit

  1. The condition types are created.
  2. The apportionment units are created and the indicator for the apportionment by 'condition type' is set (AssCondTyp). You have to assign a condition type ro each apportionment unit, for which the AssCondTyp indicator is set.

    1. Check the standard system and change it, if necessary:
To change an apportionment unit, double-click on it.
To create an apportionment unit, choose the New entries function. In both cases, you branch to the detail entry:
  • Apportionment unit: Identification of the apportionment unit. The values 0 and SPACE must not be used.

  • ApportUnit nme: Name of the apportionment unit.

  • Short name: Short name of the apportionment unit.

  • Unit of measurement of the apportionment factor: The unit of measurement is defined in the standard settings (global parameters).

  • Maintenance on the rental unit: If this indicator is set, the apportionment unit is maintained at rental unit level. Otherwise, the apportionment factor is to be maintained on the basis of the rental agreement.

  • Vacancy value zero: If this indicator is set, the apportionment factor is set to value '0' in cases where the rental unit is empty.

  • Apportionment according to condition type: Indicate whether the apportionment is to be made according to condition types. The service charges are then divided up according to the relationship, in which the condition amounts of the respective rental units and rental agreements are.

  • Percentage: Indicate whether or not the specification for the apportionment unit are percentage specifications. In this case, the tenant always receives a fixed percentage of the total costs.

  • Consumption: Indicate whether the apportionment unit is a consumption value (for example, fuel, water consumption). The corresponding consumption (meter readings) is maintained with the rental units.

  • Measuring point category: Determine the type of measuring point. These are consumption values. You maintain the measuring point categories in Customizing of Plant Maintenance.

  • Characteristic name: For consumption-dependent values, you assign the characteristic defined in the previous activity here.

  • Basic proportion: With the help of this indicator, you determine the assignment of basic proportions for external settlements (for example, external heating expenses settlement) to the real estate-specific apportionment units.

Assign the required apportionment unit to an area type.
  1. Assign apportionment units to condition types
Check the standard system and change it, if necessary:
  1. App: Choose an apportionment unit.
  2. KART: Assign a condition type.
  3. Save your entries.
