Create and maintain sales document number intervals.

You can define number intervals of number ranges for sales documents.

When creating a sales document, a unique number is assigned that identifies the sales document. The number comes from the number range which is provided for the document type.

There are two possible types of number assignments:

  • Internal number assignment
The system automatically assigns a consecutive number from the internal number range.
  • External number assignment
You specify a number from the external number range.

You can combine the number range intervals that you define in the current configuration activity with alphanumeric prefixes to easily create many additional number ranges. For more information about assigning prefixes for sales document numbering, see the configuration activity Define Number Range Prefixes for SD Documents. You can open this activity by searching for its name in your configuration environment.

Create a new number interval.

  • Specify an alphanumeric key, with up to 2 characters.
  • Specify the limits of the number interval. The individual number intervals may not overlap (that is, every number can only occur once).
  • Mark the number range if it is planned for external number assignment.

Display intervals.

Change an existing interval that you have created.

  • Except in very rare cases, changing an existing interval should be avoided. Revising an interval is a critical change that could cause considerable correction efforts.
  • You cannot change predelivered number range intervals (that is, SAP best practice content).
  • You may only change the lower limit of an interval if it has not been used.
  • You may only change the upper limit of an interval if this will not create an overlap with other intervals.
  • You should avoid changing the number range status except in rare cases.
  • Changing the number range status to a number that is smaller than the current number range status is likely to prevent you from creating new documents in the future (for example, duplicate record errors).

  • Changing the number range status to a number that is larger than the current number range status can cause gaps in document numbering. This can lead to significant issues in the future if subsequent numbering is required.

You can then assign number ranges to sales document types.

You can configure sales document types in your configuration environment. In your configuration environment, use the search function to open the following activity: Configure Sales Document Types.

If the default number range assignments for sales documents aren't sufficient for your business needs, you can create your own and assign them dynamically by using flexible sales document numbering.

  1. To define a number range, you must create a new number range interval:
  • Specify an alphanumeric key with up to 2 characters.

  • Specify the limits of the number range interval. The individual number range intervals are not permitted to overlap. Thus, every number can occur only once.

  1. To be able to assign custom numbering routines that allocate your new number range intervals to newly created sales documents, you must implement flexible sales document numbering using the Configurable Parameters and Formulas (CPF) framework.
  2. Continue with the Define Formulas for Flexible Sales Document Numbering configuration activity.

Display and change number intervals.

Change number range status.

Specify the key of the number range for sales document types (see Define Sales Document Types).

If the default number range assignments for sales documents aren't sufficient for your business needs, you can create your own.

  1. If you want to make use of alphanumeric number range prefixes, perform the activity Define Number Range Prefixes for SD Documents.
  2. To define a number range, you must create a new number range interval:
  • Specify an alphanumeric key with up to 2 characters.

  • Specify the limits of the number range interval. The individual number range intervals are not permitted to overlap. Thus, every number can occur only once.

  1. For each sales document type, specify the key of the number range interval that you want the system to use for this sales document type. You can make this assignment in the Define Sales Document Types activity.
  2. If you want the system to flexibly allocate your new number range intervals to newly created sales documents, you must implement flexible sales document numbering through Configurable Parameters and Formulas (CPF).
