In this IMG activity, you can design task templates and situation templates for use in the Ward documentation work station.

The templates help support routine procedures for treatment processes. We do not recommend you create all variants of documentation objects and working procedures as a template.

We recommend that you take into account the following points when creating templates:

  • Start by analyzing the procedures and processes whose documentation tasks you wish to provide support for, and then, together with your key users, determine appropriate standards. Examine documentation tasks in the context in which they occur, for instance, admission, examination preparation or follow-up, transfer, discharge.
  • In the next step, create situation templates for your routine procedures in relation to these groupings. Then create a list of objects and collect information about the frequency of their use. You subsequently create task templates for these objects.
  • Use task templates with base items to execute an i.s.h.med function in the documentation work station. A task with base item must be activated for the function defined in the task template to be executed. The majority of functions available via base items reduce the amount of data entry required of the user. When a base item is suitably defined, the system presets many fields, which means that the user only has to enter the specific data for the patient. You define base items in Customizing for the documentation work station.
  • Use task templates without base items to make the execution of activities visible to others involved by means of the task status.

You can also use the Ward documentation work station without creating situation templates. If you choose Create Situation in the clinical work station, you can put together a situation for Fast Processing from the list of your task templates. In this case, a situation is created from a system template with the tasks the user selects in an intermediate dialog.

You have administration authorization for the Ward documentation work station.

You have defined base items and info items.

Charting and clinical overview are available in your installation.

Choose transaction N2WLD and the work area INPA (ward). Ward template management opens.

General Information

You access all commonly used functions of template management from the context menu of the individual objects or by means of pushbuttons. Seldom used functions are located in the SAP menu.

Structure Folder

You can structure the catalogs of templates and items in groups.

Copy Templates and Items

You can copy templates and items.

Where-Used List

A where-used list is provided for each element. Use the where-used list before you delete elements. Elements used in higher-level structures cannot be deleted.

Activation of Objects

You must activate your templates in order to use them in the documentation work station.

Worklist

When you choose Utilities -> Display Worklist, the system displays all templates that you have edited in the current session. In this list, you can navigate between the templates and also activate all edited templates in a single work step.

Create Task Template

Create a new task template in the context menu for a group. Assign a technical ID. Assign a meaningful name. This is displayed in catalog selection and in the task list in the documentation work station.

Header Data Tab Page

Select the group responsible for the initial processing set of a task.

Set the Available in Selection indicator if the task template is to be available for the functions Add Task in the documentation work station and Create Situation in the clinical work station.

The system completes or cancels tasks that are not flagged as "required" when the user closes a situation. Flag a task as a required task if you wish to oblige the user to manually set the status to Completed or Canceled.

Enter the contact person for the template.

Information Tab Page

The text you enter on this tab page should explain the use of the task. The user can see it in the selection dialog and in the documentation work station.

Base Item Tab Page

If you want to link the task with an i.s.h.med function, select the appropriate base item here.

View Components Tab Page

Patient Viewer

Here you define whether and how the display is to be refreshed in the patient viewer.

Chart

Here you can select a chart layout.

Create Standard Situation Template

Create a new situation template in the context menu for a group. Assign a technical ID. Assign a meaningful name which is displayed in the assignment dialog and in the documentation work station. Indicate whether the situation template should be of the static, dynamic or display situation type.

On the following tab pages, maintain the type-independent properties of the situation template:

You can create a function variant for the situation template. From the set of available functions, select functions that support working with tasks in general.

Enter the contact person for the template.

Information Tab Page

The text you enter on this tab page should explain the properties of the situation template. Users can see it in the assignment dialog and selection dialog and in the documentation work station.

View Components Tab Page

Patient Viewer

Here you define whether and how the display is to be refreshed in the patient viewer.

Other View Components

If the relevant components exist, you can select a chart layout and a configuration of the clinical overview here.

Proposal Criteria/OU Assignment Tab Page

You can use the proposal criteria to restrict the set of situation templates (for static situations) and task lists (for dynamic situations) proposed by the system. If the user does not find the situation template they are looking for in this proposal list, they can have the system display all available situation templates for selection.

You can use the Propose According to Criteria option to determine for which departmental or nursing assignment or in which interval following the inpatient admission the situation template is to be included in the proposal list.

The proposal list contains all templates with the Always option and the templates for which the relevant criteria are satisfied for all selected patients.

For the situation type Static Situation Physician Order, an OU assignment replaces the proposal criteria. Maintain this assignment for the organizational units in which you want to use the hit list.

Availability

The Close Situation After Completion of All Tasks property saves the user manually closing a situation. Situation templates can exist for which manual and deliberate closing is desired, or for which the situation is to remain open to be able to add tasks.

Lifetime

You can define whether and when situations are deleted in the system.

The Unlimited option means that the situation should never be deleted. Own Specification enables you to enter a period after which the system will close the situations for this template.

Use the report RN2DWSWL_WORK_TIDYUP to close situations and delete closed situations.

Structure Tab Page

Here you can select the task templates that are to be edited in the situation for a patient. If you wish to use groups of task templates in different situations, we recommend that you group the task templates in a profile template and use the profile in the situation template.

You can change the sequence of the tasks in the profile template and the situation template using Drag & Drop. The tasks are displayed in the situation in the sequence you define here.

Proposal Criteria Tab Page

The Uniqueness property is used to prevent a situation template from being accidentally assigned to a patient more than once.

You can choose from the following three options:

  • No Restriction always allows the assignment of a situation template
  • Unique per Patient prevents the assignment to any of the selected patients who already have an open situation of this template.
  • Unique per Patient and Planned Day prevents the assignment to any of the selected patients who already have an open situation of this template with the same planned date.

If you violate the uniqueness rule for at least one patient in the assignment dialog for multiple patients, the system issues an error message.

If you violate the uniqueness rule in the assignment rule for a single patient, the system issues a warning. A deliberate multiple assignment is permissible.

Hit List Tab Page

The hit list is a situation-specific selection of tasks from the entire catalog, which are required often, but not always, in this situation. Hit list entreies which you enter here are offered for selection in the ward documentation work station with the Hit List poushbutton. The number of hit list entreisis limited to 12 when you use a situation template of the static type.

Design Dynamic Situation Templates

With dynamic situation templates, the system compiles the tasks of a work situation for the patients selected in the clinical work station dynamically at runtime, based on defined criteria.

For this purpose, you create selection variants under Configuration on the Header Data tab page.

You can maintain value ranges for the following organizational data:

  • Departmental Assignment
  • Nursing Assignment
  • Responsible

You can maintain value ranges for the following task-related data:

  • Task Template
  • Status
  • Priority
  • Planned Date

The work situations you support using dynamic situations can be both extremely broad and highly specific.

Examples:

The selection "All for this patient since the start of the year" can comprise several inpatient stays, providing the tasks have not been deleted.

The selection "Release medical opinion", for which the senior physician of a specialty is responsible, can often contain no tasks or one single task.

Design Situation Templates of Display Situation Type

Display situations do not have task components. If more than one situation template os this type is defined, the system will display the templates to the user in proposal lists.

Create Situation Template of Static Situation Physician Order Type

Create a new situation template in the context menu for a group. Assign a technical ID. Select the Static Situation Physician Order type.

Only the differences to static situation templates are described here.

The situation type Static Situation Physician Order differs from the static situation type in that task templates and/or profile templates are not assigned at the time of definition. This situation type is used as a template for the hit list of the Physician Order component in order to support the fast creation of the most frequent routine orders, combined as text templates and one or more task templates. The concrete ordered situation is thus created at runtime. Situation templates of this type cannot be assigned.

Header Data Tab Page

Situations of this type have an unlimited lifetime. The tasks are not deleted. The situation template does not contain the Close Situation After Completion of All Tasks indicator. When you confirm or cancel the last task of a situation, the system also closes the situation itself and the underlying physician order. The name of this template is only available to the administrator of template management. At runtime, the system creates a standard name from system date, system time, and the short name of the EmR, provided that the length of 40 characters is not exceeded.

OU Assignment Tab Page

Specify the OU assignment for the organizational units in which you want to use the hit list. The OU assignments must be unique.

Hit List Tab Page

In the hit list, add the hit list entries with which you can support the most frequent routine physician orders of the OU.

Create Hit List Entry

A hit list entry is the template for an entry in the hit list of the situation type Static Situation Physician Order. Here maintain the physician order that you want to use in the Create Physician Order function.

Header Data Tab Page

Assign a name for the hit list entry. This name is used for the hit list entry at definition time in template management and also for the physician order at runtime.

In the Contact Person group box, enter the person who is responsible for the hit list entry.

Structure Tab Page

Here you enter the plain text for the physician order and insert the task templates that you require to process this order. A hit list entry must contain at least one task template so that it can be activated.
